Word2003: Document Map

A

Arto Raiskio

there appears to be a bug in the Document Map function

specifically, I have a long document with separate paragraphs that are
numbered from zero to ten

the text might look on a separate line like

0. Background

.....

10. Conclusion

any item that begins with zero is not included in the Document Map display,
only items from one to ten

Hi Arto

It may be worth thinking about how Word decides what to display in the
Document Map. It basically tries three ways.

First, if you use Word's built-in styles, and especially the built-in
Heading styles, then Word will choose to display those paragraphs in the
Document Map, because they are clearly the headings in the document.

Second, if you don't use the built-in styles, and especially the
built-in heading styles, then Word goes looking for paragraphs with
outline levels. You can set the outline level for a style or an
individual paragraph in the Paragraph formatting dialog. (FWIW, the
built-in heading styles have built-in outline levels that you can't
change.)

Finally, if Word doesn't find what seems like a coherent outline using
built-in styles or paragraphs with outline levels, then Word goes
hunting around for short paragraphs in bold or in a big font, because it
thinks that you must have meant them to be a heading. (And, it adds
outline levels to those paragraphs). But this last method is, of course,
based on rules of thumb. Word can't always tell what you had in mind,
and it often makes bizarre choices.

So to control Document Map, use the built-in styles, and especially the
built-in heading styles. Or, set outline levels to your styles and/or
individual paragraphs. For what it's worth, I numbered the built-in
heading styles starting with 0 (ie 0 Background, 1 Something, ... 10
Conclusion), and the Document Map displayed the 0 Background paragraph.

Hope this helps.
