Turn off automatic outlining?

G

Guest

Does anyone know how to turn-off Word's automatic outline feature? I am working on a very long document and need to use the Document Map in my left pane. Unfortunately though, the document map shows the headings which I have created AND the outline levels which Word automatically assigns. This creates a nearly unusable Doc Map. I can manually change each automatic outline assignment back to body text, but this is very time consuming and I need to do this every time the Doc Map is re-created. Any help would be appreciated!

Hi Amy,

[Here's a repeat of my reply to your duplicate post. Since this is an Question post, rather than a Suggestion for Microsoft, please post any replies you may have to this thread]

Did you format the paragraphs displaying in the Document Map with Heading styles?

If so then each Heading style contains an Outline level in the paragraph format. Modify the Heading styles you do not wish to display in the Document Map, click the Format command in the Modify Style dialog and select Paragraph. On the Indents and Spacing tab you'll find the Outline level.

If this isn't the case then can you provide more information on the formatting you are using? Did you use Styles or are you using direct formatting?

If you are using direct formatting then the Document Map may not display correctly. Word will automatically assign the outline levels. In this scenario you should use the Heading styles in order to remove the need for the automatic outline.

Also, I noticed you are marking your posts as a "Suggestion for Microsoft" rather than a Question.

Ideally a Suggestion for Microsoft is used to post a suggestion on a new feature or 'wish' you have for the application. Then others can vote on your Suggestion. Suggestions with the most votes will be answered by Microsoft.

If you are seeking an answer to a question then use "Question" as your post type. Those of use who use the web interface to answer questions typically filter threads for "Questions without Answers" so your questions could end up being missed. :)

Thanks, but I'm actually looking for a way to permanently and AUTOMATICALLY
turn-off the outline level assignment feature. The problem was that I did
use headings but both headings AND outline levels show in the doc map. I
only want headings. I had already done what you suggested (converting each
outline back to body text manually), but I was hoping there was a way to
automatically turn-off the outline level assignments, so that I wouldn't need
to undo them manually.

It will probably help to disable "Define styles based on your formatting."

Stop using the Document Map and use Outline View instead. It's the Doc Map
that assigns them.

Re Outline View:
http://www.mvps.org/word/FAQs/Formatting/UsingOLView.htm

If you really want to continue using DocMap, every time you go into it,
check the Undo list immediately and undo any just-appeared AutoFormat. That
AutoFormat represents the Doc Map adding outline levels, at least in my
version. You *might* only need to do this once per opening of the doc, but
I am not positive.

If you use Google Groups advanced groups search to look for recent posts by
Klaus Linke with document map in the subject, you will find a macro to speed
up the manual fix, if necessary.

If you are referring to prevent Word from converting typed numbers into
a numbered list, please see:

Word is always making changes I don't expect. How can I get more control
over my formatting?

Note that the article also described how to turn off other less helpful
features which are enabled by default when Word is installed.
