Page numbers

When I create a document and wish to insert page numbers, I select view,
header/footer and then insert auto text and select page X of Y, and I get
Page PAGE 1 of NUMPAGES 1 . How do I cure this

Page numbers are inserted as fields. It sounds as if you only need to toggle
field codes. To do this, press Alt+F9.

Fields can be in two modes: they can show the result, i.e. the content that
will print, or they can show the code behind. Alt+F9 toggles field codes on
and off.

Still not made any difference. I have tried Alt+F9, but still get the codes
rather than Page 1 of 2

Tools | Options and View Tab - remove checkmark at Field Codes. Does this work?

Alt+F9 is the standard shortcut for turning on and off Tools > Options > View
tab > Field codes.

As I understand your responses, neither pressing Alt+F9 nor turning off Tool
Options > View tab > Fields codes has any effect. If this is correct, it
indicates that your text does not include fields as it was supposed to do.
Normally, page numbers and number of pages are inserted as fields, making it
possible to automatically show the correct numbers – and when field codes are
shown, they appear as { PAGE } and { NUMPAGES } (note the curly brackets).
The original AutoText contained such fields.

You may somehow have changed the AutoText for page numbers so that is no
longer correct. However, you can easily create the fields manually and
replace the AutoText:

1. Type
Page PAGE of NUMPAGES

2. Select the word “PAGE†and press Ctrl+F9. This adds a set of field
brackets around the word and changes the word to a proper field (note that
you cannot type the field brackets using normal characters).

2. Select the word “NUMPAGES†and press Ctrl+F9. Now it is also a field.

3. To toggle field codes and update the fields: Press Ctrl+A to select the
entire text. Press Shift+F9 to toggle field codes (Shift+F9 toggles field
codes of selected fields only). Press F9 to update the fields.

Hopefully, this corrected your page numbering. You can now replace your
AutoText:
1. Select the new and correct page number text.
2. Press Alt+F3.
3. In the “Create AutoText†dialog box that opens, type the desired AutoText
name and press OK. You can name the AutoText as the original (and obviously
no longer correct) AutoText and answer yes to redefine the old AutoText.

This suggests that the Page X of Y AutoText entry has been (re)created
incorrectly. Try starting from scratch to recreate it:

1. In your header or footer, type "Page " (without the quotation marks; note
the space following).

2. Click the Insert Page Number button on the Header and Footer toolbar,
then press the Spacebar.

3. Type "of " (with space) and then click the Insert Number of Pages button.

4. Select the entire Page X of Y phrase (which will be displayed as, say
Page 1 of 1) and press Alt+F3.

5. In the Create AutoText dialog, type "Page X of Y" (without the quotation
marks).

6. Word should ask whether you want to redefine the AutoText entry. Say yes.

Hi, Bazzer,

Did you find a solution to the problem?

The same problem has cropped up in my instance of Word [Microsoft(R) Word
2002 (10.2627.3311)], though it used to be fine. I'm going to try the fix
described by Suzanne S. Barnhill in her reply to your question in the
Microsoft Discussion Group. But first, I've done a quick check of all 10
InsertAutoText items, and I find that only the date fields work as they
should; everything else is like your Page X of Y.

Given that your description of the problem (in two places) is the only one I
can easily find using Google, and given that the problem has apparently
appeared very recently for both of us, I wonder if we're both suffering from
some virus or other malicious software?

Here's what I found:

Your AutoText entries and field codes appear to be working correctly, as you
can toggle the field display. What you are describing as "squares" appear to
be spaces, which some fonts (regrettaably) do display as squares; see
http://word.mvps.org/FAQs/Formatting/NonPrintChars.htm. In the OP's
situation, the squares seemed to represent the field delimiters, which had
become corrupted.
