Unknow Mail Recipient

R

Richard Eggleton

Outlook 2002 SP3

We have a client who when sending an email will have the 'To' or 'CC' name
display as '~Unknown~' in the sent email. The client sends mail from
Outlook using a 3rd party application address book. The emails are being
received, so
I don't believe it is an issue at the recipients end.

When the properties of these unknown contacts on the email are opened the
Display Name is "~Unknown~" but the email address is correct.

Has anybody seen anything like this, or can suggest a likely cause and/or
resolution

Thanks,
Richard

Nearly everytime this question is asked, no one answers. I HAVE
SEARCHED so please be gentle in your reply.

In Outlook 2003, how do you leave email on the server?

I am using the exchange server. I do not see anything under change
email account and I find this very frustrating. I think Outlook should
be very obvious in the menu AS THIS IS VERY IMPORTANT. It should stick
out, not be deep in the menus.

I don't know about 2003 but on 2002 it is in the
following location: Tools, Options, Mail Set-up,
Send/Receive, Edit, Account Properties, Advanced

I have a related problem that perhaps you or someone can
help with; every time I set it to leave a copy on the
server, it resets when I shutdown and reopen Outlook 2002
but with 2000 on my laptop, this does not happen. Any
ideas?

If this doesn't happen when the user sends mail from Outlook without using
the third party address book, I think you've narrowed it down....

Thanks, that doesn't look like it works in 2003. I can't believe they
made this so difficult.

If the Display as is blank in the General tab in the sender's properties,
this could happen.

That's because it's simpler than you're trying to make it, I believe.
It's actually spelled out within the Outlook profile settings:

Open your Mail profile (control panel). Check the E-mail account
options, under "Setup e-mail accounts and directories". The "Deliver
new e-mail to the following location" in your Outlook profile
indicates where mail is delivered when you're attached to an Exchange
server - if it says your user name, it's delivered to, and stays in,
your mailbox on the server until you move or delete it.

If the delivery location says anything else (personal folder file
name, etc.) then it's going there and being removed from the server
when you check your mail...

Always more words than help...

If this were to happen to me, I'd create a new mail profile.

If you're using an Exchange server, I'm assuming you're not accessing it via
a POP account. Your response to Steve seems to support this as well, since
the POP account setting he recommended doesn't work for you.

If the above fits you (and I can only guess, since you haven't stated your
account type), then you should set your delivery location to be the Exchange
server, not a PST. Tools>E-mail Accounts>Next. At the bottom left, change
the drop-down from the PST to the Excahnge account.

1) Open Outlook 2003
2) Click on "Tools"
3) Click on "Email Accounts"
4) Select "View or Change existing Email Accounts"
5) Click on "Next"
6) Select the account you want to change
7) Click on "Change"
8) Click on "More Settings" (bottom-right corner)
9) Click on "Advanced" tab
10) In "Delivery" section, put a check-mark beside "Leave a copy of
messages on server". The "Delivery" section of the Advanced tab is
pretty much self-explanatory.

Thanks Daniel,

The solutions was a bit more hidden than I thought. Your directions
don't work quite right with a Microsoft exchange server and I may not
have been clear. THE FINAL SOLUTION for leaving mail on the server in
Outlook 2003 for me was:

TOOLS
EMAIL ACCOUNT

STOP, look at this dialog box. You don't need to change the account.

Down below it says "Deliver new e-mail to the following location:"

There is a little scroll window and the choices were

Personal Folders
[MyNetworkServerUserName] - I am not going to write mine here

Flipped it to Network Server Name. I am now a happy camper. Gained all
of the contacts, calendar, and online email folders. NO WHERE COULD I
FIND THIS SIMPLE FIX. Hope it helps someone who is worker with a
Microsoft Exchange Server!
