Tracked Changes Outlook Email Attachment Issue

Hi there,

I'm having a 'Tracked Changes' problem with Word 2003 and am just
posting for some advice. I suspect it's a bug but would be glad to hear
otherwise!

Basically, we have a 72 page Word document with tracked changes from
some of our staff. We now wish to email the document to another
company but don't want them to see our tracked changes (as these are
changes from internal reviewing).

I have turned off chose the option to 'Accept all changes within
document' and this normally works fine to hide all the changes. It
certainly appears to work okay, and saving and re-opening the document
seem as normal.

My problem is when I attach the document to an email in Outlook 2003 -
opening the file via Outlook reveals all the tracked changes! It's a
good job we checked this before sending!

How can I get rid of these? I thought 'Accept all changes in document'
got rid of them? I've tried saving the document as an RTF file,
copying and pasting the content into a new blank document, but with no
luck in resolving this issue.

I'd appreciate some help with this.

What steps are you taking to attach the document to an email? Are you doing
this from Outlook or from within Word? If from within Word, are you saving
the document before using the Send To feature? Does the same issue occur if
you close, reopen the document, and then use Send To? If from Outlook, are
you saving and closing the document first?

Also, where is the document located? On the network?

I've inserted the attachment via the Outlook menu to insert
attachments, and have also dragged and dropped the file into the email
message. Doesn't make a difference.

Not tried the Send To feature so will try this in work tomorrow. Don't
see how this would make any difference, but anything is worth a try.

The document has been located on my Desktop.

Just to repeat - opening and closing the document is fine, it's only
when attaching it to an email that all the tracked changes appear. I
can zip the document and attach this, and opening the document via the
zip file straight from the email works fine too, except when the
document is then saved and attached again, the tracked changes
re-appear.

Something still doesn't sound right. Once you accept/reject all changes in a
document and then save and close the document the revisions are gone since
they have been removed from the document and they will never reappear again.

Upon reading your initial post again, what do you mean exactly by "I have
turned off chose the option to 'Accept all changes within document' and this
normally works fine to hide all the changes"? What option did you turn off?
Additionally, if tracked changes are simply hidden they are not removed from
the document and anyone who looks at the document can view them. To remove
tracked changes you must Accept All or Reject All.

I tried sending the file to email but that didn't work I'm afraid.

The quote you query below is a typing error - it should be: "I chose
the option to 'Accept all changes within document' and this normally
works fine to hide all the changes."

I agree with you - normally, doing this removes all changes. I've used
this feature tens of times before without any issues so I do understand
about accepting/rejecting/hiding changes, but this document just
doesn't seem to be working as it should.

I've done a 'Open and Repair' but that didn't help anything. I've also
searched Google Groups for similar issues and found a few posts with
the same issue, but they seemed to go unresolved.

Could you email me the document? Even a few pages that exhibit the behavior
would do. To obtain a valid email address remove NoSpam4Me from
(e-mail address removed)
