Set address book to use contacts folder vs. outlook address book

Can someone send me the article on how to do this, my key word searches are
returning articles that don't apply.

The Outlook Address Book is a virtual view of your contacts folder and has no separate existence. Please explain further why what you want to do is not already done by default in Outlook.

And include your Outlook version, ALWAYS, when asking a question in an Outlook group.

Hi Russ:

Its no more vague than your answer. I understand the difficulty of getting
help via discussion boards hence i make videos and post them to youtube so
you see what I'm dealing with but what I see on my screen is not what you
tell me should be there so I'm just repeating what you say in the form of
question in this post.

You tube doesn't require log-in or registration its public domain. A picture
is worth a thousand words. Several contacts in outlook are not displayed in
Address book view. THANKS for helping.

If I hit the little icon to the left and search for Michael Lami he's not
there. If I use the search bar next to the address book Michael Lami is
displayed as found in contacts and his full-view contact window is displayed
when I select him via that method of search.

The problem is that I want to add him to a distribution list but he's not in
the address book view so I can't. Why isn't the address book view accurate
or synced with the contacts? In adddress book view tools options this is
what I see and I'm not utilizing business contact manager as of yet it's just
installed.

Show this address book first
~ Outlook address book
Accounts
Business contacts
Outlook Address book
~ Keep personal addresses in
Accounts
Business contacts
Outlook Address book

~ Add address list
Outlook Address book
Accounts

I've tried every option and combination in address book view options before
ever persuing help on this discussion board and I see no "contacts" option
and never have until Russ Valentines latest post of even cluing me in that
there was one.

As others have tried to explain, the address book (seen when you click To or
the address book icon) is a virtual address book containing only electronic
addresses. In the paper world, this address book would be a desk drawer and
each contact folder or other address source is a book, envelopes with return
addresses, or business cards tossed in the drawer.

Go to folder list (Ctrl+6) - how many contact folders are there? If more
than one, right click, properties... is each one enabled as an outlook
address book? If so, open the address book (using the little icon) and look
on its tools, options dialog - are all the contact folders in the list of
address lists to search?

Does Mr. Lami's contact have an email address or fax #? The address book
contains on the only contacts with electronic addresses - email address and
fax #, since its only used for sending electronic messages. The Contacts has
everyone you add to it, an electronic address is not required.

You know, Russ, I don't "go" anywhere (links, web sites, etc.) to see all of the information that should be in a post. Answering properly formed questions with complete information in the post is time consuming enough. If someone can't be bothered to formulate the question with complete details without making someone jump through hoops, then my time is best spent elsewhere.

And don't get me started on TinyURL links - no way in heck will I EVER click on an unknown link in a news group.

I agree. I didn't go anywhere. Once he finally posted the dialogs that he
sees in the address book view, I could see where the problem was. Before
then, we had no clue he had installed BCM.

Ughh! I don’t mean to sound exasperated but I am. I get that it’s a view
only. Diane I think your questions are on the right track but I feel like
I'm going in circles. I still feel that we cannot solve this until you see
my dilemma in action.

Milly, your point is taken but what’s proper to you and proper to me is
different that’s why a picture is worth a thousand words. However I
understand why you wouldn’t click on a link from a newsgroup so if you wanted
to see the picture that is worth a thousand words and much easier to
interpret. One could go to youtube.com and search for key words “Microsoft
outlook address book woes†or “brainstewn,†too. If you would have watched
the video you would fully understand my situation in a context that cannot be
misunderstood because writing so that all can interpret, is subjective.

Diane thanks for your patience:
I highlighted the folder then I clicked from top most menu Tools\options but
that’s not where you want me to be.
I click the icon next to the search bar with the words “search address
books†in gray.
I select tool\options and a window “Addressing†pops up with a tab called
addressing. I have three options that tab:
Show this address list first= Outlook Address Book
Keep Personal Addresses in= Outlook Address Book
When sending mail …. = there is only one item and it is “Outlook Address
Book.â€
I highlight the one item “Outlook Address Book†I click the properties
button below the white box with the one item and a pop-up “Outlook Address
Book†with a “General†Tab appears. In the General Tab are two lines:
Information = Personal Folders
Contact folder = Contacts
While the contacts folder under “All Outlook Items†is highlighted I see all
the contacts including Mr. Lami which only has three phone numbers and one
email address which is correctly formatted.
I right click the icon next to “Contacts†under “Outlook Folders†and see no
tools or options just properties, after selecting that I click the “outlook
address book†tab and in the tab “Contacts†and a box with a check in it with
the words: “Show this folder as an e-mail Address Book†but the box and words
are light gray, I can’t modify. The name of the address book is “Outlook
Address Book.â€
I’ve done very little modifying of the install since installed I don’t see
how BCM can affect this as I have done anything with it and that folder has
no contacts in it. Plus I installed BCM after I imported contacts initially
so why would BCM affect Mr. Lami who has been in my address books for almost
a decade? Please let me know if this is property formed questions and
description.

Typically when this option is grayed out in Outlook 2007, it means the
profile is corrupt and you need to make a new profile. If using older
versions, the fix is:

If you have Contacts in the Contacts folder but they are not accessible when
you click on the To button, check these settings:

Make sure the Contact folder is enabled as an email address book. Right
click the Contacts folder, choose Properties then Outlook Address Book. Is
the box to enable as email address book is checked?

If this is grayed out...

Go to Tools | Email Accounts, choose View or change existing directories or
address book. Is the Outlook Address Book present? If it isn't listed, add
it and close and restart Outlook. If it is listed, then remove it and close
then restart Outlook and repeat these steps to add it.

Hi Diane:

I'm using Outlook 2007 so the instructions you replied with are slightly
diffrent but I think I went to the correct areas. I can't remove "outlook
address book" as it is greyed out too.

The workaround I have come across thus far is:

~simply typing the name of the person in the To: field
~ Hitting send
~ Outlook pops up window saying contact not found
~ I choose add contact
~ Put the name in and choose "save & close"
~ Then Outlook finds a duplicate
~ Asks me to add new or merge contacts
~ I choose Merge

Wah Lah! That seems to fix the contact as now they show up in the address
book view and the To: Cc: Bcc: cache.

I would like to NOT have to do this work around but I'm wasting too much
time solveing this and don't know whether to blame Microsoft or the 3rd party
( Maximizer ) who is linking to Outlook. Either of them could be at fault
for corrupt data.

different that’s why a picture is worth a thousand words. However I
understand why you wouldn’t click on a link from a newsgroup so if you

to see the picture that is worth a thousand words and much easier to
interpret. One could go to youtube.com and search for key words

the video you would fully understand my situation in a context that cannot

I highlighted the folder then I clicked from top most menu Tools\options
but
that’s not where you want me to be.
I click the icon next to the search bar with the words “search address
books†in gray.
I select tool\options and a window “Addressing†pops up with a tab called
addressing. I have three options that tab:
Show this address list first= Outlook Address Book
Keep Personal Addresses in= Outlook Address Book
When sending mail …. = there is only one item and it is “Outlook Address
Book.â€
I highlight the one item “Outlook Address Book†I click the properties
button below the white box with the one item and a pop-up “Outlook Address
Book†with a “General†Tab appears. In the General Tab are two lines:
Information = Personal Folders
Contact folder = Contacts
While the contacts folder under “All Outlook Items†is highlighted I see
all
the contacts including Mr. Lami which only has three phone numbers and one
email address which is correctly formatted.
I right click the icon next to “Contacts†under “Outlook Folders†and see
no
tools or options just properties, after selecting that I click the

the words: “Show this folder as an e-mail Address Book†but the box and

I’ve done very little modifying of the install since installed I don’t see
how BCM can affect this as I have done anything with it and that folder
has
no contacts in it. Plus I installed BCM after I imported contacts
initially
so why would BCM affect Mr. Lami who has been in my address books for
almost
a decade? Please let me know if this is property formed questions and
description.

enough.

Hi Diane:

For the record I did try creating a NEW profile following the step-by-step
instructions found in this forum and that didn't work either. Perhaps I did
it wrong, but the new profile didn't work. The work-a-round I described is
the best solution given the time I have to cope with Software oddoties.
