Rules in Outlook 2003

We have an Exchange server and have just upgraded to Outlook 2003. I lost all
my rules and are now making new ones.
When I had reached 7 rules, I got the message that one or more cannot be
uploaded to the server. Every rule contains one sender and the program is
supposed to move that mail to a folder. All my rules were client only, as I
had checked the desktop alert thing (not sure what it's called in English).
Our IT-guy said that I may have to remove that so the "client only"
disappeared. Then something strange happened! Every mail that I got, that got
sorted to another folder, came WITHOUT any sound or little envelope in the
tray. When looking at the settings in Outlook, I see that it says that those
alerts should only come when mail goes to my inbox!! How am I supposed to
know if I get mail if I get no sound, no envelope and no desktop alert????? I
now have to choose between running "blind" not knowing when I get mail (that
get sorted to a folder), or restricting myself to only 7 rules (I had about
25 before) and running them only on my client (so that I can get desktop
alert).... And how can 7 single-sender rules be 32 K????

How come when I have desktop alert on I get both that AND sound AND the
little envelope and when I have it off I get NOTHING???

That is because the sound, envelope and new mail alert only works for
messages that go through the Inbox first. That is the case with client only
rules but not for Exchange rules. Create a generic rule to play a sound,
show envelope and display the new mail alert when a message arrives. Than
create the rules to move the message (which can be server based now).

Aha! Could you please tell me how that rule should be set up? At the first
screen I have to choose when something should happen. I can't find anything
like "when mail arrives". It's either "for me", "where my name is in the
To-field" and so on, I need a more generic instruction. Could you tell me
what I should check on each screen?

Thanks for your help.

If you want it to display for every message you do not specify any
conditions; just the action. You can set some exceptions but if you want it
to be truly generic you don't need to specify anything here.

OK. Will test that tomorrow. Just wondering what the action is called that
generates the little envelope in the tray. Could only find "play sound" and
""desktop alert". These are good if I am at the computer when a new email
arrives, but if I am away I need the envelope to see it.

You're right, the envelope isn't an option. You can however choose to
display the New Item Alert Window. This will display a box with all your new
e-mail arrived while you were away. A bit similair to what the Reminder
Windows looks like.

Thank you very much for your help! Now I can help my colleagues who misses
the new mail alert window that popped up in the older version. I hated that
window and tried to get my colleagues NOT to use it, as if they clicked Yes
and had gotten several emails, only the last one would be opened. The good
thing about what you described below is that if I am away from my computer
for a longer time, all new emails will end up in the alert window and I wont
miss any new ones.

Thanks again
