PST MOVING causes re-download of all emails from Server.

E

EyeOfThierry

I have a server like "1and1" that hosts my mail. I use Outlook 2003
as my mail client. My outlook client is setup so that it maintains 30
days of history email before it is deleted. (options that can be setup
in the Advanced Tab of email account configuration.)

When i go on a business trip i copy my PST from my main machine to my
laptop. This PST is obviously current since it was 'live' prior to
the move.

As soon as i open Outlook 2003, on the laptop, outlook attempts to
download ALL the 30days of history from the server. Even though, all
those emails are ALREADY in the PST file.

My question.
1. HOW can i stop the re-retrieval of all the historical emails.
2. Those emails also have "READ-RECEIPTS" and when this re-retrieval
occurs, hundreds of emails are sent out to the Recipients ONCE AGAIN..
Obviously, this is a horrible side effect. What makes things even
harder is that these 'read' receipts do not get placed in the OUTBOX.
They are emails that are sent out directly. So there is no way to STOP
them. How can I resolve this problem.

Thanks very much for any help!
Thierry

I want to add some more detail.

The server is set to NOT delete email. It is the Outlook client that
i have configured to manage deletion of the history email from
server. Outlook is used as the complete final repository of all
emails.

I want to maintain some history on the server in case I don't have
access to my laptop, and i need to access the server directly whenever
that time is needed.

It sounds as though you have set Outlook to keep email on the SERVER for 30
days. Why did you do that? Uncheck it, and all will be solved.

Use IMAP. 1and1 give you an IMAP option....

Outlook doesn't use the PST to keep track of messages already downloaded, it
uses your mail profile in the registry. Because you're employing a
different mail profile (i.e., one on another PC), that profile has no way of
knowing what the other profile downloaded already. Gordon's idea of using
the IMAP feature of 1and1 will solve your problem and will eliminate the
need to move the PST between PCs.

Right .. i keep the mail on the server for 30 days... just in case i
don't have my laptop or happen to be away from office, i still want to
be able to access my latest emails, if i have to check it from an
internet cafe or something. Otherwise, if i just have outlook delete
all history i will always need to be looking at the desktop or laptop
to see my mail.

I see... well that definitely describes the behavior , but also
doesn't make much sense... PST should hold that information... not the
workstation! i suppose there is a good reason MS didn't do it that
way.

I suppose i can delete all mail on server... and make sure there is no
history.. .but that defeats the purpose of being able to view my mail
if i don't happen to be with my laptop or desktop.

Is there no way to address what i think i need?

Regarding the IMAP feature... not really a good substitute. Outlook
is used because it is much better in viewing the email, searching
(actually using 3rd party tools), and integration with other products
than i could ever use on the IMAP feature of 1and1... So downloading
is the only thing to do... unless you can suggest a better
alternative.

Frustrating that here is a feature i find useful, i.e. maintaining
some history on the server, and i can seem to be able to use it
effectively. If there could be some why to dis-able the SYNC on the
fly and just inform outlook that all emails currently on server have
been 'downloaded' already, that would be more useful.

Are you telling me NO one uses the remove from Server after XX days
feature???

Thanks!
Thierry

Umm so how does using IMAP not let you search or view or integrate with
other products?

Use an IMAP account in Outlook to access your 1and1 mail store. You're
still using Outlook.

If you wish to continue using POPE, why not move the contents of the Inbox
in the server to some other folder on the server? SInce POP can download
only from the server Inbox, anything in another folder won't be touched. If
you need to reference it, you can use a web interface to see it.

I do. But I don't move PSTs between machines. I let each PC control its
own PST and never try to cross-pollinate. Both machines download any new
messages and only new messages.

Thanks Brian for your suggestions.

- I couldn't do this since i travel abroad for long periods of time,
and wind up rearranging / categorizing my emails in the pst. having
to redo that when i get back once again on the 'office' computer is a
big pain. Although, i find the 'other folders' on the server as an
interesting way of still keeping those files on server, and still
solve the problem of INBOX downloading.

An IMAP account will solve this problem for you.
