Outline Numbering

HELP!! I am trying to create an outline Numbering base on recommended
shaunakelly.com instructions. I have tried the steps over and over and over.
When I hit enter I don't get it to auto number for me. Does anyone have any
suggestions on what I am doing wrong?

What I need is
1. Heading
1.1
1.2 Up to 9 levels
2. Heading
2.1
2.2 etc. Up to 9 levels
2.2.1
2.2.2 etc Up to 9 Levels
3. Heading
3.1
3.1.1
3.1.1.1 etc

I am using Word 2003 but the users who need this are using Word XP.

What are you expecting it to do when your press Enter? The default is to
insert a new paragraph with the next number in the current series. There are
two factors that might cause this to fail:

1. If you press Enter, get a number, and then press Enter again without
entering any text, Word will remove the numbering. This is annoying, but you
can work around it by typing at least a single space before pressing Enter
again.

2. If you have the WordPerfect options enabled on the General tab of Tools |
Options, the Enter key doesn't always give the expected results.

If you're expecting Word to insert a paragraph at a lower level, then your
expectations are too high. You must demote the style to the next lower
level. You can do this with Alt+Shift+Right Arrow (Alt+Shift+Left Arrow to
promote). If you have the appropriate option enabled, you can also demote
and promote using Tab and Shift+Tab.

Hi Suzanne,

When I press Enter I expect to go to the Next Level With the Next Number. I
had a few users test these instructions on different Office Versions. The
results are the same as mine.

I have restored all default settings and verified that the WordPerfect
options were not selected.

I understand the behavior of Word when using outlines and hitting Enter two
times.

To reiterate my problem I followed the steps given my Shauna Kelly to create
a customized outline numbering. When I hit enter I just get a new paragraph.
No Numbers. This is happening in Office 2000, XP and 2003. I understand
using TAB and SHIFT TAB to demote and PROMOTE but these options do not work.

I am obviously missing one important step.

Hi, Gladys --

Is what you are saying is that you do have a numbered heading like
1. Heading
but when you press enter, instead of getting 2. Heading you get a
un-numbered paragraph?

If you got to Format -> Styles and Formatting, is the paragraph style of
your selected paragraph "Heading 1"?

Several weeks I ago I was creating a template for some customers and
followed Shauna's directions for numbering -- it worked fine and I haven't
had any problems.

If this is the behavior you want, then you need to set Heading 2 (or your
level 2 style) as the "Style for following paragraph" of Heading 1.
Otherwise, the default action in Word is to create another paragraph in the
same style (at the same level). Are you sure you applied numbering to each
level of your outline list and linked each level to a different style?

Hi,
1. That is correct when I press Enter all I get is an un-numbered paragraph.
2. I have under format/styles & formatting - Heading 1
I have Name - Heading 1
Style Based on - No Style
Style for Following Paragraph - Normal

You will need to modify your style to
Style for Following Paragraph - Heading 1
if you want it to automatically number your next paragraph.

The way it's set up now, when you press enter you're getting the next
paragraph as the style "normal" -- which isn't numbered. But if you apply
your "Heading 1" style to that normal paragraph, you will get the 2. Heading
that you are looking for.

That is correct. Normal is the default following style for all headings
because Word assumes you're going to type something under the heading. If
you're creating an outline using only headings, you'll need to change that.
While you're at it, you may want to remove "Keep with next" from some of the
heading styles so your text doesn't all try to stick together in one big
clump.
