If you want to delete someone completely you can either delete their Active
Directory account - but be aware that this will COMPLETELY delete their
entire account, not just their email. If you just want to remove someone
from the Global Address List but keep everything else the same then use the
Exchange Advanced tab in Active Directory - there you will find an option to
"Hide from Address Lists" (iirc).

by hiding from address list, the address becomes invalid correct. i dont know
if the individual can retrieve email from that account remotely. i want that
account disabled. please advise and thanks tim for responding.

The address will still be valid and the mailbox will still receive email, but
I'm not sure how it affects remote access. If you want the user to still
exist, but not have email, then you can remove the mail functions from an
account. Is that what you require?

the individual is no longer with the company. if i do your earlier first
option and delete that person in active directory will that allow another
person to be added in their place thus keeping us within our licensed number
of users which is now maxed? thanks tim.

It will keep you within your licensed quantity (which will keep MS happy!).
Glad to be of service.
