importing contacts distribution lists

Our situation:
We have a complicated Database which is through a proprietary software
for churches and regional governing bodies (ACS).

Although the database will permit us to send emails directly, it does
permit formatted emails, which we have a need to send for an html
newsletter.

I am trying to export names in a way which will allow us to have named
fields in outlook for various categories such as "clergy", "elders",
"treasurers", etc. Some individuals may match more than one category.

I can export the desired fields in a variety of formats, including
csv, xls and various database formats. But when I then try to import
the file into Outlook, it does not permit me to map the fields.

ACS will also permit me to do an export directly into Outlook, which
then imports all the data fields I select as address cards in the
contacts folder, but does not recognize fields which I have created.

So I am attempting to export what would be "Distribution Lists" such
as clergy, treasurers, etc, based on search results in ACS. These will
import as separate folders listed under the contact folder in Outlook,
but I cannot then figure out how to convert the entire folder into a
distribution list.

Working between the database and working with Outlook are both new to
me, and I don't know enough to know even where to turn in terms of
what books or resources might be helpful. Do we need an add-in
program? Is there one?

Any pointing in the right direction would be gratefully appreciated.

What happens when you try to map fields?

Note that Outlook doesn't support importing custom fields. You'd have to
write custom code or use a third-party application. See
http://www.outlookcode.com/d/customimport.htm.

You do not need to convert a folder to a distribution list. Instead, select
all the items in the folder, then choose Tools | Mail Merge or Actions | New
Message to Contact.
