Address Book in Outlook 2003, doesn't pull up every item

This problem has occurred through different installs of Vista 32. This
problem has occurred even though I have deleted Outlook address books and
created new ones. This problem has occurred even though all 13 Contact
Folders have been checked to "show this folder as an e-mail Address Book" and
a name exist for that folder. In fact, I can pull up some contacts within an
e-mail folder but not all. This problem has occurred for as long as I can
remember and that last time I asked abou this, I was told not to rely on the
search function within Outlook Address Book, but rather Lookout Search (I
kept the program even though Microsoft discontinued it) or Vista Search.

You'll have to do some more troubleshooting on your own. There is nothing
here for us to go on. Examine what is unique about those Contacts which fail
to appear. For example, if any of these Contacts were imported, their
addresses will not be valid and thus will not appear. State how you migrated
data to these "different installs."

Their is nothing unique about the contacts that don't show up. Some have a
name and company, others don't. All were entered manually in contacts, none
were imported. The way is migrate data is through mail in control panel, I
add the archive folder and then make that the default mail folder, then I
copy the Outlook file into the folder and overwrite the one created by
outlook, then I make that file the default email folder.

Let me clarify what I mean by some have a name and company and others don't.
What I mean is that some have both sets of information and others just have a
company.

No wonder. You should never overwrite a PST file. Your profile is corrupt
for sure. Your data files may be as well. Use a supported method for
migrating data next time. They are well documented:

show up. For entries that don't have or need email, make one up. For
instance, (e-mail address removed).

For a second I thought "aha!", however after reviewing contacts that pull up
and those that don't, some have email addresses and others don't.

Normally I would delete the original outlook file and then import the new one
or I would create Outlook1 and make that the default and then delete the
original. This is the first time that I overwrote the outlook.pst that was
written when I reinstalled Vista and Office. I noticed no ill effects and
this issue is unrelated to that because it has been happening for over a year.

Solution remains the same. Seeing all the missteps you routinely make in
migrating Outlook data, it is no wonder your Contacts end up with invalid
addresses. That is what prevents Contacts from appearing in the Outlook
Address Book view.

is. It does not matter to me if you don't believe it. You have used every
incorrect method I know of to migrate Outlook data. That is the cause of
your problems.

Russ,

I used to import data, but was told by yourself and Sue Mosher and others
that that was bad. I used Mail in Control Panel to handle the adding of
email accounts and assigning default emails because of what you all taught
me. Apparently the only thing I did wrong recently was to overwrite and
empty Outlook.pst that was created when Outlook was installed. Usually I
just delete that bring in the new Outlook.pst. Either way, the problem has
been occurring for a long period of time. So you can either blast me because
I didn't handle a complicated issue correctly or you can help me resolve the
problem now that I have one.

From your description, there is no way to know at what point these Contacts'
addresses became invalid nor exactly which of the import/overwrite actions
did it.
For starters, I would run a repair on your Outlook Data File. Make sure all
these folders are in your default file. Then I would reset the Outlook
Address Book Service to reconnect it to this file (remove it from the
profile, restart Outlook and add it back). Make sure each folder is enabled
as an email address book.

Is it possible to somehow create a completely new Outlook file with all my
data? For example, if I were to create a blank Outlook.pst and then export
my data by folder into the new one would that resolve some of my problems?

It's certainly possible to create new PST file, but it probably won't help
and I certainly would avoid exporting ever again. I'd try repairing your
existing PST file first.
Another thing to try that would provide some troubleshooting information is
to find one of the Contacts that you know has a valid email address but that
isn't appearing in the address book view. Open and save that Contact Record.
Restart Outlook and see if that Contact now appears.
It still troubles me that you claim that Contacts without email addresses
appear in your address book view. That simply isn't possible, so I wonder if
you are really talking about the Outlook Address Book.

I could send you some screen shots showing the sequence. I assure you that
it is an Outlook Address Book, not a Personal Address Book or anything else.
