Some new contacts will save with names in wrong order...

Hello,

I'm seeing a weird issue that does not happen for every name created
in Outlook 2007.

Creating a new contact in 2007.

I'll type out "Dr. Abraham Simpson"
I'll put any other contact details in there and have the File As set
to Last Name, First.

Occasionally after I save that contact, the Business Card view (I'm
not sure about others) will show:

Abraham, Simpson Dr.
Dr. Simpson Abraham
etc.

To fix it, I open up the contact, click "Full Name," click "OK" and it
is fixed.

Any idea what is going on?

Cheers,

Mike...

Enter name elements by parsing them to their correct field. Never use the
Full Name field for data entry.

Good point. And I am confused on the topic.

I have a single contact, for instance, Fran Sampson. In Outlook 2007,
it shows up properly. The first name is in the right place, as is the
last. However, in the Address Book, it either doesn't show up or it
shows up in the wrong order.

I turned off the connection to the Contacts in the Account Settings. I
was not able to remove the MAPI connection however, which may not be
possible in OL2007, I don't know. Now that one contact doesn't show up
at all in the Address Book. We are definitely pointing to the right
set of contacts. This is an Exchange installation of OL and we are
using Cached Exchange.

Any thoughts?

Going to try this a third time.

I think there are two issues here and I am mixing them up. Not good
for troubleshooting.

Let's take one at a time.

I have a contact: Fran Sampson

In Outlook 2007, it shows File As: Sampson, Fran. The Display Name is
set to Fran Sampson. The Name fields are correct.

When you open Word and click Envelopes, then click one of the Address
Book icons to enter Fran's address, it is added to the field as
"Sampson Fran."

Now, to add another wrinkle: This behavior is NOT consistent through
all contacts. Many will enter into the envelope field properly when
selected.

Thanks,

Mike..

You're changing topics at a very fast pace here. How addresses are inserted
in Word is a completely different topic.
State the question you want answered clearly, please.

Russ,

Sorry for the mix up. This last message is the one I am having trouble
with.

Still a bit confusing. There is no option to set the "Display Name" so I'm
not sure what you mean by that. Nevertheless, to learn about ways to control
how an Address is inserted into Word from Outlook, take a look here:

Ok, I'll take a peek at that but, to be honest, this confuses me. I
don't have this behavior on my Outlook 2007 and Word 2007. I mirrored
the "File As" and "Display As" settings on the problematic system and
my contacts are addressed in Word as FirstName Lastname. We both have
plain-vanilla installations of Office 2007, but the other system was
upgraded from Office 2003.

My comment about "Display Name" is a typo. I was referring to "Display
As:"

So, to reiterate, a bit more clearly:

In Outlook 2007:
Names are set to display as Last, First.
Display As field shows FirstName LastName (which is correct)
Address Book displays names as Last, First.
Fran Sampson shows as I would expect, based upon those settings.

In Word 2007
Click Mailings tab, click Envelopes
Click Address Book icon above Delivery Addresses
Choose Fran Sampson from the Address Book
Click OK.
Name shows up as "Sampson Fran" without a comma.

Last note:
This name, Fran Sampson, consistently enters Word's envelops fields as
"Sampson Fran." Indeed, most contacts transfer this way, although some
do come in correctly. The user says that the problem only occurs with
contacts that were brought over from Office 2003. (I did not have this
information before this moment.)

Cheers,

Mike...

Doesn't matter. You cannot set the format for the Display As field. It is
hard coded into each version of Outlook and is different for each version. I
suspect your issues arise from the difference between a clean version and an
upgraded one and an incomplete understanding of how Outlook data is inserted
into Word.

Touche. But why would anyone want to send a letter to Sampson Fran?
Regardless of my throwing off the wrong scent with my
misunderstandings, Word shouldn't be sending letters to Sampson Fran.

Anyway, man, thanks. I appreciate your time and effort. I'll keep
looking into it. :)

It should be possible to configure Word to insert the name elements the way
you need. The link I posted should cover that.

It does! Thanks. My only concern with the link is that this issue I am
having does not happen with all contacts used to send letters in Word.
That may be where it's possible something happened during the Outlook
upgrade. :)

I'll update you as I go along, but I think you've been really helpful.
Thanks again!

This could easily happen if you are using any derived fields for the Insert
Address function. Outlook often gets confused when data is migrated,
especially if it is imported do the derived fields get munged. If you are
careful to use only specific name elements in AddressLayout, you should be
fine.
