Outlook 2000 Exchange 2000

Trying to use the "Plan a meeting" selection to invite users to a meeting
and schedule time in a resource (conference room).
When I include the conference room in the "all attendee" list I get "no
information" for the conference room.
How can I get it to display the scheduled times that are listed in the
conference room calendar?

If I go ahead and click "make meeting" the meeting is then scheduled in the
Conference room calendar, but I get a NDR stating that the message to the
conference room could not be delivered. It states the format of the email
address is incorrect.
NDR # 5.1.3.
How to get this working without the NDR?

Thank you for your posting.

According to your post, I understand that

If I have misunderstood your concern please don't hesitate to let me know.

1. To send a meeting request, the meeting arranger generally clicks Outlook
2000's File => New => Meeting Request. Input the receivers' mail addresses
in the To box, and then the meeting place like Conference room in Location
box.

Could you please whether the same problem will occur when you perform the
above steps?

Note that once the meeting request is sent or accepted, it will be saved in
the Calendar with the Reciever and Location information correctly listed.

2. If problem still remains after you try the alternative, please catch
screen capture regarding all related error messages such as "no
information" or "incorrect format of the email", and then send to me for
further research:

a. Press ALT+ PRINT SCREEN (the key on the right of F12) to copy an image
of the message window to the Clipboard.
b. Click Start => Programs => Accessories => Paint.
c. On the Edit menu, click Paste, and then click File to save the JPG file.
d. E-mail the file as an attachment to my Inbox
<mailto:[email protected]>.

When I go to file - new - meeting request, I fill in the "to" section, set
the location as "conference room".
If I select send now, the message is sent to the person in the "to" section,
the meeting is scheduled on my calendar but not scheduled on the "conference
room" calendar.

If I go to file - new - meeting request, then fill in the "to" section, set
the location as "conference room".
If I then go to the "attendee Availability" tab and use the "invite others"
button and select the "conference room" from the GAL and click the
"resource" button, first off I don't get any information on what is
scheduled in the conference room. I get the pattern for "no information". I
can see the person in the "to" section's "busy" times.
How can I get to see the "conference room's" "busy" times?

If I then click "send" the message is sent to the person in the "to"
section, the time is scheduled in my calendar AND the conference room
calendar, but I get a NDR reply from system administrator with the below
message:

Your message did not reach some or all of the intended recipients.

Subject: test
Sent: 9/10/2003 8:49 AM
The following recipient(s) could not be reached"

Conference Room on 9/10/2003 8:49 AM
The format of the e-mail address is incorrect. Check the address,
look up the recipient in the Address Book, or contact the recipient directly
to find out the correct address.
<My-email-server.prevention.cpcmed.org #5.1.3>


But the time block is set aside if I view the conference room colander.
Everything works as expected except being able to view the"busy" times in
the resource I add, and a NDR gets sent from system admin, but the meeting
is scheduled anyway? How to stop the bad NDR ?

Dear Danny,

Thank you for your reply. This abnormal behavior can occur if your Calendar
data is partially corrupt. I suggest the following test:

a. Please launch Outlook, click to select Calendar.
b. Click File => Import/Export, and then export the Calendar folder to a
personal folder.
c. On the File menu, click "Exit and Log off".
d. Start the Exchange Client.
e. Click the user's calendar, and then press DELETE.
f. Quit the Exchange Client.
g. Click Start, click Run, and then type the following command to restart
Outlook:

"outlook.exe /resetfolders" (without the quotation marks) NOTE: You
notice that the user has an empty Calendar folder.

h. Send one sample Reminder and then test the situation.
i. To restore the data, please click Import/Export on the File menu, and
then import the formerly saved file.

By Exchange Client you mean what?

All I could find on "exchange client" was that it is not installed with
Outlook 2000.

I used OWA and deleted the calendar, followed your instructions and when I
"invite" the resource Conference Room, I still don't get any "free/busy"
times. I still get no information.

Now when I "invite" the resource conference room, I still get the NDR, but
the time is not scheduled as it was before I ran outlook.exe /resetfolders.

Any thing else?

Dear Danny,

Thank you for your reply.

1. Outlook is the client for Exchange server. Would you please confirm with
me when using Outlook program, rather than OWA, will the problem be
reproduced by using "outlook.exe /resetfolders" command?

To make further research, please forward the NDR mail to my inbox
mailto:[email protected], thank you for the continual patience and
efforts.

2. To check if the culprit lies in original user profile, if possible, I
suggest that you create a new Windows 2000 account with appropriate
permission, and then a mail account from Exchange Server.

Log off and then log in with the newly created user account, configure its
mail account, and then use Outlook to test the situation.

Hi Seaver,



I have worked out the NDR issue, I can now send a request and have it
scheduled on the Conference room calendar, My calendar, and the invitee's
calendar without getting a NDR.



I can not however, view the "free/busy" times for the conference room (or
any other "resource" I add). I can not view the free/busy times of any
resource from *any* client on the network. I get the "no information"
pattern for all resources from all clients.



Any Ideas?

Dear Danny,

Thank you for your reply. I am glad to hear that the NDR issue has been
resolved.

Based on my further research, some hotfixes regarding Conference Room
issues have been integrated in Service Pack (SPs). To ensure both Server
and Client are updated to latest version, I suggest that you apply the
service pack first from the following URLs:

Exchange 2000 SP3:
http://www.microsoft.com/exchange/downloads/2000/sp3/default.asp

Outlook 2000 SP3:
http://www.microsoft.com/downloads/details.aspx?FamilyID=5C011C70-47D0-4306-
9FA4-8E92D36332FE&displaylang=en

After that, view the Conference room status to test the situation.

I will give this a try. I have SP 3 for Office installed. Not sure about SP
3 for Exchange.
