Outlook XP Distribution List

C

Chipmunk

In Outlook XP I'm trying to copy a Distribution List from the Personal
Folder-Contacts to the Mailbox Folder-Contacts, but I get an error message
"Memory Low or Out of Systems Resources". I even try to Export the Personal
Folder-Contacts to a PST file and then Import that PST to the Mailbox
Folder-Contacts, but that particular Distribution List won't import.
What's wrong? I don't want to have to recreate that Distribution List since
have over 100 names.

Thank You

Hi Chipmunk,

Create a test Distribution List (DL) in the Personal Folder-Contacts and then try to move it to the mailbox folder-contacts. If it works
fine with the test DL, the issue is mostly caused that there is problem with the specific Distribution List. Follow the steps below to see if
it works.

1. Open Outlook 2002. Open the "My Documents" folder. Drag the DL from the contacts folder to the "My Documents" folder.
2. If it works, it will create a *.msg file on the "My Documents" folder.
3. Drag the *.msg file to the mailbox folder-contacts folder. What is the result?
4. Open the DL, check the members to see if there is any corrupted item, or items with invalid email address, empty name. If so,
remove the items from the DL. Test the issue again.
5. If the above steps doesn't work, please recreate a new DL with the original DL contents and then save it in the mailbox folder-
contacts folder to work around it. To re-create the DL more quickly, you can save the original DL as a *.rtf file and then open the *.rtf
file in Word 2002. Copy/paste the name and the email address back to the new DL.

If anything is unclear or if you have any other concerns, please don't hesitate to contact me.

Regards,

Emily Lin

Hi Emily,

Sorry for not replying sooner. I wasn't in the office so I couldn't get to
the problem PC. I was able to create a Test DL in the Personal
Folder-Contacts and move it to the Mailbox Folder-Contacts. But when I try
to drag the problem DL to the My Documents folder and then drag it to the
Mailbox-Folder-Contacts I got an error message "Can't copy the items. There
is not enough free memory to run this program. Quite one or more programs
and then try again". The only two windows I have open was Outlook and the My
Documents folder.

I then try to create a new DL in the Mailbox Folder-Contacts by saving the
original DL as a *.rtf file in Word 2002. But how do I paste it into the new
DL screen? When I open the new DL you can't move the cursor to the area when
the name suppose to appear so you can't Paste the Name and Email address.
You are only allow to choose "Select Member" or "Add New". "Select Member"
only allow you to choose from the Global List and "Add New" only allow you to
enter each contact individually.

Hi Chipmunk,

As it works fine with the new test DL, the issue is mostly caused that there is problem with the original DL. Have you checked if there is
any problematic entries in the DL.

According to current situation, you may need to manually re-create the DL and save it in the mailbox-Contacts folder to work around it.
It may be somewhat time-consuming. Thanks for your cooperation.

Note: When I ask you save it as *.rtf and copy/paste the name/email address back to the new DL, I mean that you still need to click
Add Member to add each member manually. Instead of typing the email address, you can copy/paste each email address back in the
Add Member box.

If anything is unclear or if you have any other concerns, please don't hesitate to contact me.

Hi Emily,

I don't think there are any problematic entries in the DL. I thought when
you said Copy/Paste I would be able to do the entire list. I guess not, but
thank you for your assistance on this problem.
