Outlook 2003/Treo 700w

We use OL2003. It syncs email, contacts and
appointments to out Treo700w phones. Email
sync works great but we do have some problems
with contacts and appointments. I'll try to
be concise:
In contacts me and my partner each maintain
a separate file of our personal contacts.
There is then a master database that all
employees can access. Because the company
file is a common folder and ours are not
common we sync the Treos by copying the
common file to our non common file then sync
that file to the phone. It is something that
we would like to have seemless and so it
would sync changes immediately rather than
once a month when we do the copy and sync.

The other issue is in in the callendar.
Again we have a group calendar that all
employees schedule in. (lots of appointments
going out for years in the case of meetings
etc.) I also keep a personal schedule. My
personal schedule syncs to my phone but if I
schedule an appointment on the phone, it
syncs to my outlook personal calendar but not
to the common group calendar. I can only get
it on the group calendar if I remember to
copy it over after I get back to the office.
I'd like it to sync automatically but I
don't want hundreds of appointments for other
people to show up on my phone.

Does anyone have any suggestions

Synching issues all lie with the sync software. Outlook itself has no part
in the sync process. You should consider using a more capable sync tool.

Are you using Exchange? Without that it's no simple task to share Outlook
data.
If you're using Exchange, and wireless activesync, it cannot sync anything
other than your own mailbox folders. You might be able to sync your
public/additional folder using something like Chapura or Pumatech
products....but it won't be wireless.
