How do I set up a distribution list w/out selecting every member?

We use Office XP pro. We have a large number of customers (all belonging to
a specific category) to whom we wish to send broadcast emails and faxes with
attachments. How do we do this?

I figure the first step is to create a distribution list. When I tried
doing this though, it seemed I had to select each member one at a time.
Since we have hundreds - if not thousands - of customers, this isn't
practical. How can I select everyone belonging to a category? or to an
address book?

My last question is what's the easiest way to send a broadcast fax from
within MS Office? We used to use WinFax, but I'm always having to export and
import address books so I'm wondering if there's not an easier way with
Office XP Pro.

DL's are never a good option. They are not reliable and you must send to
every member.
You can use categories. Just use the By Category view, select the Category
Header and then Actions > New Message to Contact.
You will have a hard time doing broadcast faxes from Outlook 2002. The only
fax programs with which it will integrate natively are Windows 2000 Fax and
Windows XP Fax, both of which choke on broadcast faxes. They might be able
to handle three, rarely more. You'll need to look at various enterprise fax
solutions:
