Distribution List Issue

We are running Office 2003 with Windows XP Pro and have created distribution
lists within shared contacts as well as within individual email accounts. It
seems that when we select a distribution list, one or more recipients tend to
fall off the list in the email, but remain on the list in the shared
contacts. It is very random and it is not the same user that falls off.

Can anyone help with this issue?

How many members of this distribution list (DL)?
Maybe your limit has been reached and you need to
break it down into two.

There are 2 ways to look at this question:

- If I send a message, is there a limit of how many I can send to?
- If I build a distribution list, is there a limit?

The answer is Yes to both.

The 1st one is limited by your ISP or Mail Server.

The second is also yes, however it depends on how much information you
have in each contact. There is not an exact number of contacts that you can
add to a DL (distribution list).

If you only store a name and e-mail address, then the limit may be
between 125 to 130 contacts.

If you store more info than just the minimum then you may only be able to
add between 50 and 70 contacts.

Thank you for your quick reply. Our lists only contain about 35-40 users and
only contain names and email addresses. We don't get error messages, the
issue is that randomly, someone will fall off the list when we use it, but
the next time we use the same list, someone else will fall off and not the
person that was omitted the previous time. We have tried to recreate the
lists several times and the issue continues to occur.

What method is being used to "Share" these contacts?
Do you Exchange? Are these in a public folder?

We do have an Exchange Server 2003. I created a Shared Contacts Folder
within the public folders and created the distribution lists here. This also
happens with distribution lists within our individual mailboxes as well.

The reason I ask is, could some of your clients be
adding "Private" marked contacts? This would
explain the inconsistancy of the sent.

Most of the lists contain users that are pulled from the Global Address
Lists.

I would still check for that. If a client has the GLOBAL setting on
their Outlook to make everything they do be a PRIVATE sensitivity
then it will. Just to show you where in the client to look:

- Select the TOOLS menu
- Select OPTIONS
- Select the E-MAIL OPTIONS tab
- Click the ADVANCED E-MAIL OPTIONS button

Near the bottom of the window is a section titled "When
sending a message". Here you will find the "Set Sensitivity:"
option and it could be set for the sensitivity to PRIVATE.

This will make EVERYTHING that client sends be set to
PRIVATE. This includes Meetings, Contacts, etc. This will
make meetings hidden and cause other problems that may not
be apparent until later.

The contact will have a check mark in the bottom right corner
of the form. (Itty Bitty)
