Email Mail Merge - 2007

Sue C

I have a simple email that I need to send to a list of contacts, with an
attachment. The email itself doesn't need personalising in any way.

Am I right in saying that the Mail Merge function does not support
attachments?

If so, I am happy to settle for the BCC route, however the contacts I need
to mail are set up within my Contacts, and are identified by Category. I
cannot find a way of selecting all Contacts within that Category. When I use
the Address Book to select the recipients, contacts from all of the
Categories appear together. If I start off within Contacts and highlight
more than one Contact, ie. all those in my mailing Category, then I don't get
the 'Create' option so that I can send a message.

Any suggestions gratefully received!

Thanks. Sue

In Contacts, select the Category by highlighting it (category not expanded),
do Action-Create-New Message to Contact. That will create a new message with
all the contacts in that category in the "To" field. Just highlight all the
"To" field and move to the BCC field.

Mail merge does not do attachments but its possible using VBA or a utility.

You can group by category, select the category you want to use then choose
Actions menu, create, new message to... then select all (ctrl+a) and drag or
cut and paste the names to the bcc field. (The Create option will not be on
the right click context menu - only the Actions menu when you select
multiples.)

Alternately, you can create a view with just the names and email addresses
(or just email addresses), filtered by category, then select all and paste
into the bcc field.
http://www.outlook-tips.net/howto/copy_data.htm shows how to create a DL but
it works just as well with the To field too. Hit Ctrl+K to resolve - as
long the display name is not the email address, they will resolve correctly
(@ in the display name will not resolve).

You are correct. If you want to mail merge with an attachment you'll need a
3rd party addin like;
http://addins.howto-outlook.com/mapilab_mailmerge

If you decide to order use 4PM76A8 to get a discount.

To go the BCC route, you can select multiple contacts from the Contacts
folder and use the Actions menu to start a new email. This will put the
addresses in the To field but these can be easily cut & pasted in the BCC
field.
