Compressing the size of Word doc

Gloria

Hi,

Having trouble reducing the size of a word document (Word2000). It's 13mg
and using WinZip or WinRar can only get it down to 12mg. They are only a
couple of pics. It's to go out by email. Are they any other applications that
can reduce it further?

Thanks
Gloria

You can compress the picturs within Word, however it could affect the
quality of the pics. You can try right clicking on an image and choosing
format pic. When the dialog box opens up, click the compress button in the
lower left corner and then change the resolution to web/screen. to be safe
you can save the document with a new name incase you do not like the new
document.

thanks

It really doesn't take more that one picture... If that picture file happens
to be a 30 MB TIFF the size of the document will increase accordingly.

The key ingredient is processing the image appropriately for its intent
using a decent graphics app *before* plunking it into your doc. As you're
finding out, image files typically don't compress very much. You control the
size of the file by specifying the print dimensions, resolution, color mode
& file format using a program such as Photoshop, Photo-Paint or any of
numerous other apps that provide those capabilities.

Waiting to make adjustments until the image is in a word processing document
can be a recipe for disaster -- especially if the adjustments are radical.

Some documents will always be too large to send by e-mail. Use instead a
file transfer application or maybe upload it to your web space or simply
copy it to a CD and send that via the ordinary land mail.

In addition to what Nat, Bob, and Graham have said, which I agree with about
images bloating the file size. Depending on where the images have come from,
ie other applications, if you have the original file, usually doing a Save As
to, say, JPG, this will produce a smaller, good quality version that can then
be inserted into the Word document without increasing the file size too much.

As well as images bloating file size, there are other possible culprits, I
would also check the following:
1. Fast Saves: Disable this at on the Save tab of Tools | Options.
2. Preview Picture: Clear the check box on the Summary tab of File |
Properties.
3. Versions (File | Versions): Make sure "Automatically save version on
close" is not turned on.
4. Revisions (Tools | Track Changes):
Highlight Changes: Make sure "Highlight changes on screen" is turned on (or
that "Final Showing Markup" is displayed).
Accept/Reject Changes: If "Accept All" or "Reject All" is available then
revisions are present; accept or reject all changes, then turn Track Changes
off.
5. File format: Make sure you are saving as a Word document; in some cases
..rtf (Rich Text Format) files are significantly larger than .doc files.
6. Document corruption: See
http://www.mvps.org/word/FAQs/AppErrors/CorruptDoc.htm.

Hope this helps
