Calendar Archiving Problem

J

Joe McGuire

I have set OL 2003 to archive all appointments (and everything else, too)
more than 3 months old. When I go to a date more than 3 months ago I can
see that some of my appointments have been archived but many have not. For
example, fora particular week in May 2005 I have appointments on most days
of that week in the "active" calendar but they don't show up in the archive
calendar, even after I manually "archive" the active file. However, some
appointments were definitely archived--they show up only in the archive
calendar. On the other hand, some show up on both the active and archive
calendars. Oddly, if I open any of the appointments and check file,
Properties, there is a check mark for "Save copy of sent message" as if this
were a message. Have I missed some important setting somewhere along the
way?

FWIW here are the Autoarchive settings I am using:
*Run Autoarchive every 1 day (this is temporary)
*Archive or delete old items--checked
*Show archive folder in folder list--checked
*Clean out items older than 3 months
*Move old items to [name of default archive location]--dotted

Not sure about the items that appear in both places -- maybe it just looks
that way. Have you checked the modified date of the items that are not
archiving properly? That's the date Outlook usually uses when archiving
items, not the created date. With Calendar items, the start and due dates
must be in the past, and recurring appointments and events will only archive
when ALL instances of these items are in the past.

Thanks! I checked and found that most appointments that ought to have been
archived and cleaned out but are not seem to have the same "Last Modified
date": 8/17/2005 at 8:49 p.m.; obviously I did something at that time;
others have even older Last Modified dates. However, leaving recurring
items aside ( realize they are not archived), I reset the archive period to
1 month and manually archived everything older than 9/19/2005.
Nevertheless, the old stuff is still there in my "active" calendar and does
not show up in the archive. I have not checked each and every appointment
that should have been archived but I checked a whole lot. All have last
Modified dates that ought to get them archived--if this were the problem. I
also took a few and removed the check mark for "Save copy of sent message"
and then manually archived the calendar--to see if this made a difference.
It did not. OL seems to be going through the motions of archiving--it says
that's what it's doing--but virtually nothing is actually getting archived.

Any ideas?

I did have a problem when I moved to Outlook 2003 where some old items just
refused to archive, yet newer items, created under 2003, archived just fine.
You might want to try creating a new item and then in a few days, try using
the archive settings to move anything modified before the prior day. If the
new item moves but the older ones don't, it could be the same problem I had
(and I never figured out why). In that case you will need to just drag and
drop the items from your main .PST file to the archive .PST file and be done
with them.

Thanks again. I just looked at OL and to my astonishment all the archiving
now seems to work. There were only 1-2 items I had to drag over to the
archive file manually. Did I do anything? No. Do I have any idea why it
worked today but not yesterday? Nope. Does this make sense? Nope.
