Appointment is not visible if Outlook Client is closed

We are using public folders in Outlook 2002, which are mail enabled. We use
them to book meetings for branch office sales persons. We have created group
schedules to each public folder calendar. Group schedule includes the branch
office's sales persons calendars.

The problem is, that when an agent books an appointment for a sales person,
it doesn't update to his/hers calendar if Outlook client is closed. This
causes overlapped appointments.

This is normal, expected behavior because it is Outlook that performs the tentative acceptance. You might want to consider setting up delegates for the sales people so that someone who has Outlook running can accept the meetings for them.
