Default Sort Order (Company View)

Software: Outlook 2003, Windows XP SP2 & Windows Vista Home Premium

When I switch to the Company view for my Contacts folder, obviously it sorts
by Company.

What is the next "default" sorting criteria. I have not manually set it to
a Custom Sort "Then By."

There appears to be no rhyme or reason to the way my contacts are listed
under "Company: (none)" for example. Is it in order of the most recently
created in that category to the oldest?

I can easily direct it to sort Then By File As but this has really piqued my
curiousity.

That view is _grouped_ by company. The default is for that view to sort by
the File As field.

I hate to disagree with you Russ, as you are "The Man," but what I am seeing
with my own eyes contradicts what you are saying.

My Current View is "By Company" and it is indeed Grouped By Company. From
there it is definitely not secondarily sorted by File As.

I will give you an example of the first entries in Group Company : (none):
*note that for all Contacts in this example the File As field mirrors the
Full Name field and Contacts are ordered "First, Last."

From the top down: ABC TEST, Nick Donato, Amanda Gillespie, Aaron Massaro,
Jessica O'Brien, Homer, Ken McCauley, Maria Felton, Lisa Boyer, Zara
Doolittle, Cheryl Mankus, Tom Whitt, Randy Benner

This is just the first few but bears no alphabetical organization structure
by the File As field - the same hold true for actual Company Groups with
several Contacts in them as well.

I thought it was supposed to be the File As field myself which is why I am
so perplexed and interested.

Also when I checked "Customize Current View" both Group By... and Sort...
were set to Company.

I tried changing the Sort... to None and the data organization remained the
same.

Of course when I manually change it to File As it appears as we think the
default intends.

So can I configure it to do as I wish, YES.

However, I am very curious to figure out what this mystery sort order is
when Sort is set to None or Company while the Group By is set to Company.

In looking at the order they appear, it seems potentially plausible that it
is the order with which Company (none) items were either created or modified.
I will do some more experimenting while I await a response so maybe I will
have more feedback too. I wish I had a test system ;) I will of course keep
the thread updated with any breakthroughs.

Somehow you changed the default view. It is not necessary to "change" the
view to sort by "File As (ascending)" out of the box because that's how it
is set by default. What happens if you reset your view to the default?

I don't see the option under the view tab to reset the view to default, I
thought it was in there somewhere.

Where can I find that so I can do it and let you know? I guess I should
reset all views, do I need to do it for each "Current View" (ie address
cards, etc.) or will resetting it once reset ALL views?

Also, how is it possible to change the default views so that assuming I can
revert it back to its natural default, I do not accidentally manipulate it
again.

You can reset an individual view here:
View > Arrange By > Current View > Customize Current View > Reset Current
View (should be at the bottom of that dialog box).
You can restore all views to their default at once using the /cleanviews
command line switch. This switch (and a few other really helpful ones) are
discussed here:

Many thanks to you for your suppport on my two issues here. Hopefully the
Activesync WMDC groups can help me more with the other.

So if I do not want to mess with the switches then I would do that for each
Contact view individually? Would the same apply for tasks, etc., every
different view reset independently?

The last remaining question has to be how I modified the default view in the
first place, especially in the Company view which I do not even think I ever
selected until I just was messing with it recently, experimenting with
Exchange Server between 3 PCs in 2 locations.

Since I have starting using Exchange Server and dumped my .pst files (other
than backups off the server) I have become a junkie trying to learn all these
power user ins and outs, custom forms, etc. I am hooked, hence my desire to
understand the slightest quirks.

Thanks for all the friendly and informative posts; I look forward to
becoming a more contributive member and maybe even helping some peeps myself

It's hard to say how the view got changed in the first place. The above site

Thanks for the links, I had been hitting slipstick for a little while now,
great site.

Ok so when I reset the view on the "Company" Contact view, it went back to
sort : File As.

However, if I switch the sort to None, it reverts to the Exact same list
that made no sense before: Group By Company, Sort None with all the names
arranged in no discernable fashion for no particular reason.

There has to be some criteria the data are adhering to when there is no Sort
filter applied. What is this criteria?

Perhaps I should clarify there are NO FILTERS applied. THe last sentence of
the prior post may make it sound like I applied a filter but I just spoke
with an incorrect term. I understand the difference between a filter and
there are No filters applied.

I reset default company view, changed sort to None, and it reverts to the
exact same weird arbitrary list of contacts (that I listed some by name in
the order they appear below) under the company group.

That's what I would expect, wouldn't you? If you set no particular sort
order, you get no particular sort order.

It has to be sorting by some hidden criteria since it is the same every time.
It is not like "shuffle" contacts. That is what I have been asking the
whole, what is this hidden sort criteria, ie. created, modified, etc... I
cannot discern what it could be through experimentation so I do not think it
is anything I have mentioned, but Russ, it is Something! :)

View > Arrange By > Current View > Customize Current View > Reset
Current
View (should be at the bottom of that dialog box).
You can restore all views to their default at once using the
/cleanviews
command line switch. This switch (and a few other really helpful
ones)

I don't see the option under the view tab to reset the view to
default,
I
thought it was in there somewhere.

Where can I find that so I can do it and let you know? I guess I
should
reset all views, do I need to do it for each "Current View" (ie
address
cards, etc.) or will resetting it once reset ALL views?

Also, how is it possible to change the default views so that
assuming I
can
revert it back to its natural default, I do not accidentally
manipulate
it
again.

view to sort by "File As (ascending)" out of the box because
that's
how
it
is set by default. What happens if you reset your view to the
default?

Also when I checked "Customize Current View" both Group By...
and
Sort...
were set to Company.

I tried changing the Sort... to None and the data organization
remained
the
same.

Of course when I manually change it to File As it appears as we
think
the
default intends.

So can I configure it to do as I wish, YES.

However, I am very curious to figure out what this mystery sort
order
is
when Sort is set to None or Company while the Group By is set
to
Company.

In looking at the order they appear, it seems potentially
plausible
that
it
is the order with which Company (none) items were either
created or
modified.
I will do some more experimenting while I await a response so
maybe
I
will
have more feedback too. I wish I had a test system ;) I will
of
course
keep
the thread updated with any breakthroughs.

arranged in no discernable fashion for no particular reason.

There has to be some criteria the data are adhering to when there is
no
Sort
filter applied. What is this criteria?

Many thanks to you for your suppport on my two issues here.
Hopefully the
Activesync WMDC groups can help me more with the other.

So if I do not want to mess with the switches then I would do that
for
each
Contact view individually? Would the same apply for tasks, etc.,
every
different view reset independently?

The last remaining question has to be how I modified the default
view
in
the
first place, especially in the Company view which I do not even
think
I
ever
selected until I just was messing with it recently, experimenting
with
Exchange Server between 3 PCs in 2 locations.

Since I have starting using Exchange Server and dumped my .pst
files
(other
than backups off the server) I have become a junkie trying to
learn
all
these
power user ins and outs, custom forms, etc. I am hooked, hence my
desire
to
understand the slightest quirks.

Thanks for all the friendly and informative posts; I look forward
to
becoming a more contributive member and maybe even helping some
peeps

OK then, what is the default view when grouped by company and Not Sorted.
There has to be some rule governing the appearance within the groups. Is it
defaulted when not sorted to created date, modified, etc.? What is it?

I've never seen that documented. If for some reason it is important to know,
you can always add various fields to the view to see if you can tell in what
order the Contacts are listed.
