Your mailbox is over its size limit

Hi all, Could someone please help as this is driving me mad.

I keep getting this email everyday, but what i don't understand is that i
have copied over all the inbox emails alongside sent items and moved them to
a personal folders file which is on saved on my desktop. so my email size
should be 0 but for some reason i still get this message everyday and another
thing it has gone over the size limit.

Your mailbox has exceeded one or more size limits set by your administrator.
Your mailbox size is 57885 KB.
Mailbox size limits:
You will receive a warning when your mailbox reaches 40000 KB.
You cannot send mail when your mailbox reaches 50000 KB.You may not
be able to send or receive new mail until you reduce your mailbox size.
To make more space available, delete any items that you are no longer using
or move them to your personal folder file (.pst).
Items in all of your mailbox folders including the Deleted Items and Sent
Items folders count against your size limit.
You must empty the Deleted Items folder after deleting items or the space
will not be freed.

Any help would be appreciated, i am using pop3 not hotmail.

G'day Adam

First up you need to find out what is in your mailbox. Right click the
Mailbox (at the very top of the folder list). Properties | Folder size.
Take a look at which folders in the Mailbox are large.

You can have an empty Inbox, empty Sent items and STILL have an oversize
Mailbox as all folders in the Mailbox count (Calendar, Tasks etc.)

Make sub-folders in the Personal Folder to file stuff. eg Make a Tasks
folder to file completed Tasks. Make sure you set it to Folder Contains
Task Items when you make it.

You can also look at each folder in a table view, show the Size column and
find the few humungous items that are problematic.

Hi Again,

This is what i see when i do right click and click properites and folder size.

What i don't understand is that the total size is 15876 which is next to
nothing, so why is the limit 40000kb. Also how do i increase this size? I
only have something like 20 emails in my inbox at anyone time. Also my PST
file is like 38,000kb, and surely it is capable of going up to 2GB.

You make subfolders by right clicking on the folder youi want it under. New
folder. In the window, set it to say Folder contains Task Items.

On the Advanced Toolbar you'll see the Current View window. It will for
example in Tasks say "simple list". In Calendar it usually shows
"day/week/month". If you change in the Calendar to By Category, you'll have
a "table" view. To the right of the Current View window are the BEST 2
buttons in Outlook. Use the Field Chooser to grab the size field and show it
in your Calendar. Now sort by Size and find the huge calendar items.

It's right there on the same screen as the Local Data tab. You are looking
at your mailbox properties, correct?

Hi,

Do you have an alternative email address so i can forward you print shots of
all the info you need. this would be much useful and also a lot quicker as
this is really annoying me know.

Put your screen shots on one of the many free image-hosting web sites and
post the URLs to the images here.

Adam you sent screen shots on the Personal Folder size. That is NOT the
Mailbox and not what causes the Mailbox full message.

I suggested days ago: "First up you need to find out what is in your

Take a look at which folders in the Mailbox are large."

You have done these steps for the Personal Folders and that's irrelevant.
Your personal folders are where you should file for long term storage. Do
it to your Mailbox. Your Mailbox is what the IT dept. want you to keep lean
and it has a limit to its size

Login using Webmail (OWA)
you may see the "outbox" has a number of items in it that where not visible when using outlook 2007.
Delete these by pressing shift delete.
