Recently we have received mails from clients asking why we sent them a
particular mail. On investigation it turns out that the mail they received
from us was never addressed to them. Their email address does not appear in
the sent item anywhere, not as a CC not as a BCC. Checking my email server
log, I see that indeed the email was sent to that wrong recipient.
How is this possible and what can I do to fix it.. obviously in a business
setting unwittingly sending out emails to the wrong recipient could have
some unintended consequences. Also there is no way to know whether emails
are going to the wrong place without checking the server logs and comparing
them to the the clients, an impossible task.
My setup Outlook 2003 under Win Xp SP2.. not running exchange server..
emails are sent out by an internal mail program to our ISP. The mail server
software is not the culprit as this also happened to a remote employee who
sends her mail out directly through her ISP. I'm running AVG virus checkers
at each of the workstations and MS antispyware as well.
