Word 2007 - Address

J

Jim

when I highlight the address in a word doc and then click on the envelope
icon - it places the info in the address box... HOWEVER the line spacing
appears to be 1.5 or 2 lines and can't be adjusted RESULTING in some of the
address not being printed on the envelope.

This was not a problem with earlier editions of word...

What is the work around?

This is a common problem relating to the paragraph formatting of the
envelope address style. If you have an old envelope document that is
formatted correctly simply use the organizer (Alt +F8 > Organizer) to copy
the two envelope styles to the normal template,
or
copy the styles from the envelope templates you can download from my web
site
or
Reformat the styles to taste -

I have tried your solution and also updated the styles in a style set and in
letterhead templates. When I look at the envelope address style in the list
of styles, it shows exactly what I want. when I select the address and run
the envelope wizard, it changes to the old envelope address style. The
template shows that the style has been updated but when I use the envelope
feature (for a normal No. 10 envelope), it just sets the envelope address
style back to what it was when I first installed Word 2007. I am no stranger
to styles but this really baffles me. I am ready to create an envelope macro
again like I did years ago.

Hmmm. It works for me, however I always use a template to create envelopes
(you can download samples from my web site) as most of my correspondence is
by air-mail and I have an airmail graphic applied to the template..

When you run the envelope tool, is the address correctly formatted in the
address window? It should adopt the settings in the Envelope Address
paragraph style (unless you have applied manual formatting to the address
information it is pulling from the document - you can cross check this by
inserting the address in the dialog from the address book icon).

I suppose much of the problem was caused by Microsoft's bizarre decision to
break with convention and add spacing to the normal paragraph style? Here I
have removed the spacing from that style. You might try that - though it is
'supposed' to work in Envelopes and Labels without.

In Word 2007, the Envelope Address style as defined in Normal.dotm, though
it is still based on Normal style, specifically includes Single spacing with
no Spacing Before/After. In legacy templates where Envelope Address is based
on the Normal style, there are no such specific exclusions, but this
shouldn't be a problem because the Normal style in those templates doesn't
include any of these things. Where I've seen problems with this was in
templates/documents where Normal style *had* been modified (to be
double-spaced, for example), in which case Envelope Address has to be
explicitly modified as well.

But the OP claims to have modified the Envelope Address style in the
relevant template, so this doesn't seem to be the answer.

I've just started getting this problem too esp. on labels. I don't think any
of you guys are yet near an ansa - and I'm no expert. What i did try was
going back a few weeks to a letter the label for which (and it was sent as a
packet so def. label not env or window env) DID print correctly and tried
printing it again. B***** me - it printed double spaced this time. It's
surely a bug or virus or some corrupting recently released patch. What's
Microsoft got to say about it I wonder?

Fantastic Suzanne - I don't know what else I can try and labels are a vital
business tool for us so good luck with your enquiry and I hope to read more
soon.

Are you creating the labels using Mail Merge? If that's the case then the
Mail Merge function is adding 5.55 pts of space before each paragraph. To
rectify, select the first label, on the Home tab, in the Paragraph group,
click the dialog box launcher (small arrow in the bottom right corner) and
change the Space Before to 0 pts. Then on the Mailings tab, click Update
Labels.

Also, to avoid having to do this for each line (paragraph), you can use line
breaks (Shift+Enter) instead of paragraph breaks (Enter) between lines.

No - letters as my first post specified. This is a prob that has just emerged
hence my bbelief that it is MS generated or a virus.
