Word 2003 - Mail Merge

I know how to do mail merges in Word but now I have to do a project where I
merge the data in a small Excel file into a letter prepared in Word and I
have to add the fields. How do I add field names? (I have little experience
with this function).

It would be helpful to know what version of Word you're working with and
confirm that the Excel data does have field names at the top of each column
of data, etc.

Assuming the data is stored appropriately & that you are using Word 2003,
start with your form doc as you normally would for any other merge. Whaen yu
get to step 4, click the Task Pane link for 'More Items...' &7 select the
field to be inserted in your document. IMHO, this is a real PITA because you
need to a) make sure the insertion point is in the right place for the field
you want to insert, and b) you can only insert _one_ field at a time, then
reposition the insertion point & go back in to insert th next field.
therefore you miht find it helpful to activate the Mail Merge Toolbar & use
the 'Insert Merge Fields' button.

I'm not sure I understand what you need to do. You mean you've never inserted
merge fields for the data into a Word mail merge document?

My preferred method is to display the Mail Merge tools (Tools/Letters and
Mailing/Show Mail merge toolbar). Then I click on the button "Insert Merge
fields" to get a list. I then double click the field name(s) I want to insert.

Does that help get you started?

Unfortunately, the button in that toolbar brings up the same dialog box...

On my website, in the Word 2002/2003 section of the Mail Merge FAQ, you'll find
a macro solution that will display a list of fields in a dialog box that will
let you work in the document at the same time.

There's also a list of the old commands you can bring back up, including the
dropdown field list.

Unfortunately, the button in that toolbar brings up the same dialog box...

I probably should have mentioned that, but the point I was trying to make
was that the toolbar takes up less space than the Task Pane... which I didn't
very effectively accomplish. (I still find it Incomprehensible that the
change was made in the first place, let alone allowed to carry over from XP
to '03.)

Nice to know about the macro, though - thanks for sharing it!

The Insert Merge Field command, however (as described in my article), does
open the familiar menu.
