Question - When using track changes feature to manage a
document among a working group - how do you protect
against the future recipient, perhaps outside the working
group, seeing the earlier versions of the document. I
know that you can turn off track changes, but can the
recipient turn it back on and see earlier versions through
track changes? How does one ensure that a recipient of a
document cannot go in and review draft version through
track changes?

Hi Dane

You need to accept the changes before sending the document outside the
group. You'd normally want to accept changes anyway at this point, so as to
restart tracking from the issue point, but otherwise do it in a separate
copy.

You would be surprised how many people neglect to ask this question! As
you've sensibly realised, turning off 'track changes' just stops generating
new revisions, and the 'Show' settings simply affect your own view - they
aren't even stored in the document. So if a recipient has their view set to
show revisions, all your changes are instantly visible.
