Syncing Exchange & Personal Folders in Outlook 2007

I run a very small business that uses Windows XP and Outllok 2007. I
recently bought a Microsoft Exchange service from my ISP so that I could sync
with my Windows Mobile 6.1 smartphone. I now find I have new folders
associated with Exchange while keeping my Personal Folders seperate. The
Personal folders are now out of date as all new email, calendar dates and
contacts go into the Exchange folders. How do I get the Personal folders to
update with the Exchange folders? I want to do this so that I can continue my
weekly backup of my personal folders.

There was no reason to get a hosted Exchange service from your ISP if the goal
was to sync with Windows Mobile 6.1. ActiveSync 4.5 should be able to sync
Outlook with Windows Mobile V6.1 directly.

Were I you, if I didn't need to share folders with others using the Exchange
service, I'd dump it and go back to what you used before. If you intend to
continue to use the Exchange server (and don't need to share folders), then
click Tools>Account Settings, select the Data Files tab, click on your
Personal Folders, then click Set as Default. Stop and restart Outlook to have
Outlook download the contents of the Exchange mailbox to your Personal
folders.

Thank you for this. I started to implement your suggestion but got dialogue
box warning that I would then only be able to receive mail on this PC. I was
concerned that I would then not be able to receive my email on my smartphone
or read it on the Exchange mailbox on the web which I use when I'm
travelling. Being risk adverse I didn't want to disconnect myself from the
Exchange service by accident. I don't share folders with anyone else - it's
just me with mail in 3 places - PC, smartphone and webmail. Will I be OK if
I set the Personal Folders as my default?

If you're using the Personal Folders in Outlook as the delivery location, then
you are correct that you will not see anything in the mailbox using Outlook
Web Access and I tried to make that clear. Your phone, as well, wouldn't be
able to receive messages, but you can sync it with Outlook directly so you
shouldn't have an issue with them not containing the same data. However, if
you go back to using a POP server and configure both Outlook and the phone to
leave messages on the server, then you'll be able to receive mail on the phone
and in Outlook still be able to see it using a web browser and the webmail
interface to the server, which is probably what you had before going to a
hosted Exchange server. You can still sync the non-mail items of the phone
and Outlook to keep everything in sync there.
