Sorting Sent Messages

Hi All,

I have a new problem I haven't been able to solve, and hope someone
can point me in the right direction.

I have 4 separate accounts in Outlook, 1 Exchange (corporate mail) and
3 personal POP3/SMTP accounts. I have rules configured that will move
incoming messages to my personal accounts to a local .pst file,
effectively keeping them off the corporate exchange server, but I
haven't been able to do the same for sent messages. Under Sent item
rules I can only find options to 'Move a Copy' of a message, and not
truly Move the Message. Unfortunately all messages sent, regardless
of account, get placed in the Exchange Sent Items account, which I am
trying to avoid because they then get replicated to the corporate
servers, are viewable by the admins, backed up forever, etc, etc,
etc.

So, does anyone have any suggestions on separating outgoing messages
to respective data files?

Use Outlook Express for personal accounts and keep Outlook for your Exchange
account.
Is your company OK with you using their licensed copy of Outlook for your
personal email? You should bear in mind that whatever you have in Outlook is
actually their property, not yours. They provide Outlook for you to do
business on their behalf, while you are responsible for the contents they own
it.

Due to past experience I prefer not to touch Outlook Express.
Futhermore, Outlook provides a single environment to handle all my
messaging and calendaring needs, which actually saves time and
resources compared to trying to use OE. Fortunately, as a remote/
traveling employee, my company gives me absolute authority over the
laptop and the contents thereof, meaning I can store anything and as
much I choose on this machine.

With that said, are you familiar with any methods to separate sent
mail into their respective data files? As I mentioned, the rule I
created copies the sent messages as desired, but I haven't found a way
to 'move' the message, or delete from the base Sent Items once copied
over. Any thoughts on this are appreciated.

In my Rules Wizard there is also an option to move the email, not just move a
copy. That should accomplish what you want. If you don't see that option,
what version of Outlook are you using?

Disable the option to keep sent items in the Sent Items folder and then the
"move a copy" action will be a genuine move. Make sure you include the
"stop processing more rules" action and include a catch-all rule that moves
all mesasges to the Exchange Set Items folder. That way anything not moved
to a PST-specific Sent Items folder by the other rules will be saved to the
Exchange server's Sent Items folder.
