Scheduling a resource

Bill Bell

I am jhaving a problem scheduling a resource in outlook.
The resource is a conference room. I have set up the
resource so that it can be schuelded, but it doesn't
automatically accept or decline as per the below wriet up.

This feature requires Microsoft Exchange.

In addition to inviting people to attend meetings, you
can also schedule resources, such as the conference room
where you plan to hold the meeting, or the slide
projector you plan to use for a presentation.

In order to schedule a resource, the resource must have
its own mailbox on your server. An individual in the
organization sets up the mailbox and gives permission to
others to schedule the resource. Aside from that, the
resource is self-sufficient, accepting and rejecting
invitations automatically. When you want to schedule the
resource, you can invite it to a meeting. The invitation
is accepted if the resource is free, and the meeting is
automatically entered in the resource's calendar.

The administrator for the resource can restrict the
ability to schedule the resource. For example, if only
managers are allowed to schedule certain conference
rooms, the administrator can set permissions so that
requests from managers are accepted and requests from non-
managers are declined

I also set up the CFR mailbox to set up a resource so
that it can be scheduled with these instructions:

I have completed the epermissions and the mailbox is on
our exchangte server, don't know what I missing? Any help
would be appreciated.

You neglected to mention your Outlook version. Also, users need to schedule
a meeting with a resource by specifying it under Resources, not as a regular
attendee.

Suggest you do configure the following on the Outlook
client while logged in as the resource/conference room:

Click the TOOLS menu then click OPTIONS then click
CALENDAR OPTIONS button

-Check the Automatically Accept Meeting Requests and
process cancellations option

-Check the Automatically Decline Conflicting Meeting
Requests option

-Click the Set Permissions option and set the default
permission to Author (doing this will allow people to
manipulate only meetings they have proposed.)

You might also consider setting free/busy time so that 6
to 12 months is published.

Is there any way to have a conference room when invited as an invite
auto-accept ? We are running Exchange 5.5 with various Outlook Clients
Apparently this feature has been configured on previous Conferenc
rooms but on any new conference rooms this feature does not seem t
work.
