Outlook Rule Limitations

Mike Thurgood

I'm trying to create a rule in Outlook that is analogous
to specifying a "Permit List". Specifically, I want all
incoming e-mails delivered to a folder named "External
Contacts" unless I have added the senders e-mail address
to a "Permit List" in which case the e-mail is delivered
to my Inbox. I'm using Outlook 2002 and Exchange Server
5.5.

The current rule I have used is as follows:

Apply this rule after the message arrives
move it to the External Contacts folder
except if from <list of e-mail addresses>
or except if sender is in Global Address List Address
Book

To use this rule I have created a Personal Distribution
List in my Contacts folder named "_External E-Mail
Contacts" in which I have placed all the e-mail addresses
I wish to permit into my Inbox -- the "Permit List".
The "Global Address List" address book then takes care of
permitting all people in my company as well.

Whenever I wish to update the rule, I delete all the
existing names in the first "except if from" clause of the
rule and then double-click "_External E-Mail Contacts" to
which Outlook says a Personal Distribution List cannot be
used, but asks if I want to add the individual members
instead. I respond yes and all the names are added.

All of this has been working well, except I think I've run
into an upper limit of some sort. If the number of e-mail
addresses in the "_External E-Mail Contacts" gets too
large (>30) or so then when I click Ok to update my rules,
I receive the error message, "One or more rules could not
be uploaded to the Exchange Server and have been
deactivated. This could be because some of the parameters
are not supported or there is insufficient space to store
all of your rules". If I delete a few addresses then I'm
okay once again.

Is there a way to customize Exchange Server 5.5 to permit
a larger set of rules? Or better yet, is there a better
way to implement a "Permit List" than what I've described
herein.

Thanks much for any assistance!
Mike
