Outlook mail size max limit

Hi,
The outlook mail size has exceeded the maximum limit and hence I am
getting a pop-up error message to delete mails from my accounts to
create some space.
I have even archived some folders manually and by Auto-Archive
function. However, I would not prefer deleting mails permanently from
my mail box by (SHIFT+DEL).
Please suggest an alternative solution.
 
Talk to the people that run the mail server and see if they will raise the
limits on your mailbox.

After you have archived your mails you need to compact the pst-file.
Please suggest an alternative solution.

You could install an add-in that extracts attachments - those mails
probably use the most space in your pst-file - out of the mails, e.g.
http://www.mapilab.com/outlook/attachments_processor/. I even use it and
I am very satisfied.

Or switch to Outlook 2003. The Unicode-Format for pst-files that comes
with this version allows a pst-file size of 20 GB.

If you're using a PST, the next step will be to compact it. It won't get
smaller just by deleting and archiving.

Im a newbie to this. Can you please tell me as to how compacting a PST
file. Is there some option in outlook for the same?

I have Outlook 2003 (Professional edition) 11.5608.5606.

Control Panel | Mail | Datafiles | Settings | Compact

Christian gave one path. You can also right-click the root of your PST
(i.e., "Personal Folders" or :Outlook Today" in the Folder List), choose
Properties, click Advanced, then Compact Now.
