Outlook HTML signature disappears

Hi all,

I posted this on another Outlook forum a couple of weeks ago, but
unfortunately didn't get a response, so thought would try again. This issue
is happening nearly every time my colleague tries to use her email, so any
help or suggestions would be very much appreciated....

All,

Our company has an HTML email signature template which is set up for our new
and reply emails.

However, A colleague of mine is having a problem with her email - every now
and then she tries to reply or create a new mail and she gets an error
message telling her the signature can't be found and then the mail opens up
without the signature.

When you go to Tools/Options/Mail Format, the signatures field has reverted
to 'None'.

We then need to open the HTML file and go through the new email signature
creation process again.

This member of staff sometimes uses different computers, don't know if that
is connected.

Does anyone know how to fix this problem?

What version of Outlook?

Are you using roaming profiles in Windows so your settings and application
data follow you from machine-to-machine? If so, Office 2003 has a few issues
with roaming profiles I believe were addressed in Office 2003 Service Pack
2.

Signature files are stored locally on a machine. So, if she goes to a
machine without the signature file there, or not named the same, Outlook
won't be able to use the current settings. If somehow the roaming profile is
not being applied correctly on a certain machine, it's possible this is
affecting her signature settings and then carrying-over to the other
machines.

Hi Patrick,

We are running outlook 2002.

The signature doesn't always disappear when she moves from machine to
machine, sometimes it's when she stays on one machine!

Her HTML signature template is saved in a file in her Settings folder, and
then copy and pasted into the signature section. Whenever the signature
disappears, we have to open up her settings file and do it again.

I'd still like to know what the status is on roaming profiles.

Can we check a few of the machines she uses? I'd like to get this info for
the machine on which this last happened to her and the last machine she used
that worked fine.

Right-click the My Computer icon. Select Properties | Advanced system
settings (Advanced on Windows XP). Select the Settings button under User
Profiles. Her user profile should be listed with a Type specified (either
local or roaming). What is the type on these two machines we're looking at?
If they both say, "Roaming," is there a noticeable difference in the Size
listed there?

It is probably worth it to have your IT support folks check the copy of her
roaming profile on the server to see if it contains the actual signature
file. Also, it may be worth checking to see if each of these computers is
running the same version of Outlook with the same service pack level. I'm
not personally aware of this specific issue with Outlook 2002, romaing
profiles, and signatures, but it would be worth having them make sure these
installs of Outlook are all on the most current Service Pack level.
