Need more help with track changes

T

Teddy

I posted a question yesterday and received a very good answer (initial
question and answer are below), but I need more help with this
situation. I received a document from someone, and I am making
changes to the document. The document from someone has balloons on
the right hand side of the page, and in the balloons are the words
"deleted" and "inserted" followed by what was deleted and what was
inserted prior to my receiving the document.

I want to be able to show what was inserted and what was deleted, but
all I get in my balloons after editing the document is either the
deleted text or the inserted text (depending on whether I view final
markup or original markup). How can I get the balloons to show BOTH
inserted and deleted text like it showed when I received it from my
friend?

Prior thread:

Hi Teddy,

If you are viewing "Final Showing Markup" then the inserted text is
visible in the document - there is no need to display a Balloon for
something you can see.

Whereas the deleted text is removed from the document and a Balloon
will display text that is no longer visible in the document.

When you view "Original Showing Markup" then the reverse applies.
Deleted text is visible in the document and inserted text is not.

If you want to review all changes then perhaps the Reviewing pane will
accomplish what you need. Either that or you can turn the Balloons off
and view deletions and insertions in the document instead of Balloons.

Hi Teddy,

Which version of Word does your friend use? And which version do you
have?

You could display the Reviewing toolbar in order to see a list of all
changes...

I have Word 2002 and she has Word 2000. I can use the reviewing
pane, but if there is a way for the balloons to be configured to show
all the changes (and all comments and format changes) that is what I
want to accomplish.

Thanks for your help so far. If you can help again, I'd sure
appreciate it.

No, there is no way to have the balloons show both insertions and deletions.
If they did, what would be left in the document itself?

The balloons' behavior in your friend's file is likely due to its
having originated in Word 2000. Word 2002 doesn't have any provision
for changing the behavior, so you'd need, in essence, to create every
document in Word 2000.

Something you could try - but no guarantees it would work - would be to
have your friend create a new TEMPLATE on her machine. She should type
in some text, turn on track changes, make a change, save and close.
With any luck, any document you create from this template would exhibit
the behavior you're looking for...
