How do I insert a file into the text of an email instead of having it
automatically posted in it's own box outside of the text?

It depends upon the file, but usually you need to have HTML enabled as you
default email format. This newsgroup is devoted to Microsoft Access
databases.
You are much more likely to find an answer in a group devoted to your
subject.

Open the file and copy the contents from the file then paste the contents
into the email message.

You will get the best answers to your questions if you post in a newsgroup
that is appropriate to your application, for instance in an Outlook Express
newsgroup.
