How do I stop fax numbers from appearing as addresses?

G

Guest

I use Contacts for my address book. Some Contacts have fax numbers as well
as email addresses. This causes two entries to appear when addressing an
email message. One address is the valid email address and the other is the
fax number. I do not want to send email to a fax. How do I stop fax numbers
from appearing as email addresses?

Thanks.

Hello Riggs,

export your contacts to excel and add some characters to all faxnumbers
(for example "fax: +49 (911) 12345678"). Then import them again to
outlook.

Thanks for the great kludge, Peter.

This has been a problem for many many years. Why hasn't MS fixed it?

I don`t know why.

There is a tool from Ken Slovak to change the telephone numbers, please
see: http://www.slovaktech.com/phonechanger.htm. I don`t know if this
tools hides faxnumbers, too.

There is another way to hide faxnumbers: If you have exported your
contacts to excel change the header from the "Business faxnumber" to
another telephone field which is not in use.

There is nothing to "fix." The Outlook Address Book is a "virtual" view of your contacts with valid electronic addresses, which means both email and fax.

Yes, thats right, but an option to hide the faxnumbers in the
addressbook would be fine.

Thanks, Milly. I didn't know that.

So what MS really needs to do is fix the Mail program so that it will
fax messages to people you select from the list.

Otherwise, what is the value of having that "virtual" view of valid
electronic addresses?

It already allows you to fax to people with an electronic address. I suspect what you really mean is that Microsoft should fix the cosmetic "display" to fit what you want, correct? In all other aspects, the program performs as expected and required, it is just that you don't care for the display.

Milly - I think you may be missing the point of this issue for users. It's
all too easy to accidentally choose the Fax # instead of the e-mail when you
are rushing to send out an e-mail. The Address Book is used mainly for
e-mailing by most users - so having the Fax number be on the pick list when
you go to send an e-mail is problematic for those users.

I assumed that it might be possible to send an Outlook message via FAX to
someone on that pick list, but never saw any instructions on how to do it.
I'll look that one up. Thanks for advising it's possible.

Today my problem is that when I exported my Contacts to Excel and then
reimported them to another workstation, the e-mails don't show up at all on
the pick list, only the fax numbers show up. If I go to the Contacts group
and open the individual contact, the e-mail address is there ....but that's
much more time consuming than selecting from the 'pick list'. I suspect that
the export/import wound up with the e-mails in the wrong column. Does anyone
know which column e-mail address should be in for successful import? Thanks
for all the help you guys give!

This is all too often the result of the method you are using. You never
transfer Outlook data using export and import. Use a supported method
instead. We post them daily.
