How do I print my calendar with category colors?

T

tracy

I like to have a hard copy of my calendar, a week per page so that the kids
can see their schedule. Each child has their own color category and all
their activities are highlighted in their color. When it prints, it prints
in black and white. I know it is not my printer because their are other
areas of color on the page, but not the activities or "appointments". Do you
know why or how to get the "appointments" to print the appropriate color
category? Thanks!

What version of Outlook are you using? Did you download and install the Calendar Printing Assistant if Outlook 2007?

I am also using Outlook 2007 with the printing assistant and have the same
question. I didn't see any place on the assistant to associate the
categories with colors (or to use the colors already chosen in Categories.)
I hope Microsoft fixes this soon or someone else has a solution!

Are the categories in color in print preview? (if so, try printing to an
electronic format then printing that file)
What printer do you use?
Do you have the most recent printer drivers?
Is it set to color in print properties?

BTW - I know it works correctly on an Oki but not on (at least some) HP's -
I don't know if HP support website has anything on it. When I need to print
on my HP 990c, it's always black and white, even if I print to a PDF first -
I think the inkjet can't handle the color shading (borders around all day
events are partial black dots). If I print to an Oki color laser it prints
as expected.

Diane,
Thanks for the response. I don't think its the printer. When I use the
Printing Assistant, it doesn't even show up in color on my screen. Some
items are in color (the numbers for the months for example) but the calendar
items are all black.

In the past (with previous versions of Outlook) I have used a template in
Word called My Outlook Calendar.dot. It would bring in the chosen calendar
and create a printable calendar that fits everything (going to two pages if
necessary) and has everything color coordinated depending on categories.
This still works with Outlook 2007, but is kind of a tedious process.

For your information, I am choosing the "Standard Month with Weeks 02 -
Letter" template under the month templates.

Also, I have an HP Color Laserjet 2605dn.

Thanks,
Julie

The CPA uses the color of the calendar in the left bar, not color
categories. If you add 3 calendars or task folders, the items will be
colored to match the calendar color. Even so, my HP can't print any colors
from the CPA - not even the dates or the dots that mark the calendar. At
least there is a border around the all day events - that's more than I get
on the HP when I print from Outlook. Will this ever be changed so that
calendars are identified by the colored dots and events use their category
colors? I have no idea. It depends on how many people use the CPA and
request the feature.

Do you have another printer (not an HP) to test? I do. It works as expected
on my Oki. It's all B&W on my HP 990c. It's my (unconfirmed) opinion that
the shading used for the color categories is too light and can't be rendered
on the HP printers. It happens with shaded cells in Excel too.

Diane,

I have tried it with a different printer and get the same results. Oddly
enough, the all-day events (such as birthdays) and the multi-day events do
show up in color - black text highlighted in pink.

It seems odd to me that Microsoft doesn't make it a standard feature to be
able to print out a monthly calendar (whether on one or two pages) that keeps
the color categories AND is able to print all items for a particular day. If
I just choose to print a regular month calendar, the colors come out
correctly, but not everything shows up because there are too many items on
certain days. Ideally, it should either automatically make the font smaller
to make it all fit, or adjust the row height of the days to accommodate all
the items (which could bring it to a second page.)

I hope Microsoft is listening...

Thanks,
Julie

Hi Diane and Julie,
So glad you are both responding because I am still having trouble. I know
it is not a problem with the printer too because the all day events print the
whole day in a bright beautiful color. Plus, the little recurring symbol in
the bottom right of each appointment in also printed in color. Each
appointment will not print in the appropriate or any color. In Print
Preview, it looks perfect all the colors are there. I am using an HP PSC 2210
printer, have downloaded the Printing Assistant 2007, and am using Microsoft
Outlook 2007.

I have to say there was a two day stretch where it printed just fine. I
have no idea why. I did not make any changes before it happened or before it
stopped.
Thanks, Tracy

The Calendar printing assistant is a utility Microsoft released to address
some printing issues (like 'why can't outlook print a calendar like print
shop does - one that looks like my wall calendar') - its linked at
http://www.slipstick.com/addins/calendar_print.asp.

I have no idea what your problem is - the usual problem is that it doesn't
print in color at all - not on all day events, not for recurring symbols,
nothing.

I've been having the same problem, so it is not the printer, drivers or
cartridges. The only thing that seems to matter is that my "all day" events
print in color, but the ones that are listed at specific times do not. For
recurring events, if I list them as 1 day duration, again, they will print in
color. Looks like a glitch.

D

Diane Poremsky [MVP]

All day events have darker shading (higher DPI) so they will print on some
printers while the lighter (lower DPI) colors won't print. All colors will
print on some printers, no colors will print on some printers. (I own 2
color printers, one prints only B&W calendars, one does full color.)
