How do I create a rule via email using my tool bar not the icon?

I would like to create a rule via email so that it notifies me when I receive
something from a specific client inquiring about specific product. I see the
button, but I would like to pass this information onto my colleaques so that
they can do this as well.
 
This question has to do with your mail client, not Word.
