Faxing with Outlook

Our database of company contacts consists of about 650 fax contacts which I
have placed into categories and departments to organize. I made a custom view
in my contacts pane so that I can go to a certain department within a certain
category and have a list of the subsequent contacts. I want to be able to fax
to many of these contacts at once using my custom view to chose which ones to
send to.
To fax to one contact I currently have to type an email, attach a file,
change accounts to “fax mail transport,†click To:, and find a FAX contact
and click their name.
I cannot fax to multiple contacts using my categories and departments
organizational structure.
I want to be able to click on a department within a category and send
a mass fax to all those people. When I do this now “click on a departmentâ€
and click “new message to contact†I get the error “you must first enter a
valid email address before outlook can send a message to it.†I end up in the
message with an underlined name in the To: box. I switch to “Fax Mail
Transport†and can’t get the name to change to a fax number. I tried to
"check names" but this didn't work. Any ideas how I can get this process to
work better. I am thinking if I change my email account to “fax mail
transport†before I send the message outlook may import the fax numbers
instead of the emails but I haven’t tried that yet. And even if that does
work I’d like this to be simple for the other people working in my office and
they won’t like changing their default email account back and forth all the
time. Any assistance is appreciated.

Fax software and Outlook version are in play. You mentioned neither.
Explain what a "department" is.
