Building sub-bullets one at a time in Power-point 2003

B

Bob S

I use ppt 2003 and desire my sub-bullets to appear 1 at a time, even though
they are three levels -- like 1, a, and 1). I clicked Slide Show | Custom
Animation | clicked the group of bullets I want to animate 1 at a time |
clicked Add Effect | Appear | clicked the arrow to the right of the number
that just appeared. On the drop down menu, I clicked effect options | Texta
Animation and changed "Group text" from "by 1st level paragraphs" to "by 2nd
level paragraphs" and clicked OK. Then I notice that the "1"s beside all of
the levels now turn to sequential numbers, and I think I have got it to
work.

Unfortunately, when I click Play at the bottom right of that screen, it
brings up all of the bullets and sub-bullets together.

Can someone tell me what I am doing wrong and how to fix this?

Thank you in advance.
Bob

Clarification: All 7 items are set to start on "Click", but the appear all
at once, rather than waiting for my click.

Also, I got it to work properly on my "Overview" slide (the first one after
the Title slide. It had 8 items (2 paragraph levels). The title (at the
top) is labeled "0" and is set to "start with previous" rather than "on
click". I do not remember setting this item to do anything.

Help.

Do the points appear before ANY click?

maybe you have a setting which disables on click animations

Possiblities:
Transition set to Auto after?
Slide Show > set up show set to 'show at a kiosk'?
Slide Show > set up show set to 'show without animation'?

If its none of these and you can't find the answer here we do have a problem
solving service but I think we can probably get it solved here.

Hi Bob

Always check your animations in slide show mode (shift + f5) rather than
pressing the 'play' button. When you press play it just plays the animations
in sequence rather than waiting for you to click so it appears as if all the
bullets appear at once.

Post back if you have any other questions but from the way you've described
it I think you've set it up right :)

Hi Lucy,

That is perfect. Thank you for suggesting viewing the animation via Shift
F5. I really like it. I only knew about pressing F5 to show the slide show
(which starts at the beginning). I really like Shift F5. The reason that I
thought the Overview slide was OK was that the animation I used on it was
"Fade" rather than "Appear". Whenever, I used "Fade", even if I used
"Play", each one came up individually. Whereas, when I used "Appear", the
all appeared at once. Do you know why that it?

Even if not, you have solved my problem. I have another question that I
would love your advice on.
On another slide, I have the first level with numbers, and the second level
with bullets. On # 1 and # 4, the numbers show up. On #2 & #3, they do not
show up. All of the text besides the numbers shows up, and all of the
bullets (at the second level) show up just fine. But, the middle two
numerals do not appear during the slide show.(whether I click "Play" or
Shift F5).

Can you help me wtih that?

Thanks again,
Bob

Bob,
Check to see if there is an extra space before the bullet text on the items
whose numbers don't show up. If there is, removing the extra space should
bring the number back.

Kathy,

Wow. You are good! Yes, there is an extra space before the text of each of
the 4 numbers. Yet, only 2 of the numbers disappear when I go from edit
mode to presentation mode. Thank you for your answer. However, that brings
up another problem. I put the extra space there so that I could make the
first letter a different color (in order to highlight an acronym formed by
the four first letters). If I make the first letter a different color (and
do not put in the extra space), it turns the numeral that new color as well.
I would rather the numeral not be changed to the brighter color, since I am
trying to highlight these first letters more than the numerals. Can you
tell me how to keep the numerals but not turn them the new color?

Thank you for your help.

Yes, the "missing" numbers do show up in edit mode and then disappear in th
epresentation.

Let me read your mind a little further: I bet that the bullets whose numbers
don't show not only start with a space, but they also are more than one line
long. All right, I admit it: It's a known bug in 2003. It is fixed in 2007.

So.. the way to work around it is to make your bullet text shorter than one
line and then the space fix will work. The other way you can get around the
problem is to drop a somewhat transparent box behind the words you want to
emphasize and animate that in after the sentence. The advantage to adding
the box is that it will do a better job of emphasis - those viewing the
presentation will not need to depend on seeing your color change -- they
will see the animation of the shape and that will catch their eye.

Yes, you read my mind. And I totally follow your suggested work-around to
shorten the length of the text, and doing that with one of the two
disapearing numerals was not too hard.. I do not, however, understand the
other suggested work-around. Could you explain that one a bit more?
Perhaps it would be easier if I gave you the line that is giving me trouble.
It is:

2. Integrity: Enables one to respond quickly, accurately, and relevantly
(to "think on his feet")

I would like the first letter (I) in the word Integrity to be in a different
color to emphasize it along with the first letter of each of the other main
bullets (spelling out RICH).

How do you do that transparent box animation you were talking about?

Thanks again,
Bob

Thanks John. I checked out your website and it helped me to imbed an Mpeg
file into a different presentation, solving a different problem. I also saw
some other tips there which I will look into. Thanks.

Hi Bob

Yep, I like shift + f5 too :) The reason the 'fade' ones come in one by one
when you press play is that the 'fade' takes time whereas 'appear' is
spontaneous. So when it plays all your animations in preview, all the
animations come in one after the other but the 'appear' ones look like they
are all coming in at the same time. When you preview animations it does the
mouse click for you - so always check in slide show view if you are using the
mouse to advance animations. Does that make sense?

I see Kathy has answered your next question about the bullets (which is a
good thing as I would have been floudering around for ages trying to figure
that one out!) but let me pick up the baton with the transparent box question:

1. Draw a rectangle the same size as the word you wish to emphasis. You can
find the rectangle autoshape on your drawing toolbar (probably at the bottom
of your window) - just click it and then click & drag the size you want on
the slide.
2. Double click the rectangle and on the Colours & Lines tab select a colour
and change the transparency (slidey bar under colour) to, say, 25%. Amend
line colour & thickness to your heart's content.
3. If you need to amend the size you can do that on the size tab.
4. Put the box over the word to emphasis, right click it and select order ->
send to back. Your work should now be in front of the box.
4. Now add the animation you want - appear or fade will work well. I would
probably use the same animation as the bullet points.
5. Change 'on mouse click' to 'with previous' and drag the animation to
directly below the bullet point it is associated with in the custom animation
pane.
6. Sit back & admire your work in slide show view :)

I hope that's clear (I haven't had my coffee yet). If not, post back.

How about instead of writing it, I tell it? Check out this screen recording.
You want to make your boxes a better color and no line around the outside
instead of the bordered boxes that show in the video, but you should get the
idea.

(And please note: This was a very quick Jing. I didn't worry about making
the background or the boxes pretty. I was going for instruction, not design
:) )

Hi Lucy,

That was very clear. I like that way of drawing attention to something and
may use it a lot. Thanks a lot.

Always happy to help Bob :)

And I got something from it too as Kathy sent me a link to
http://www.jingproject.com/ which means I can now create & share screen
recordings really easily. Saves all that typing...

Thanks Kathy!

Wow! Your instruction was very clear. And I liked the Jing technology as
well. Way to go.
Thanks again.

You can change the red number back to black or whatever!

The reason it has > Red is that it's color is set to "Automatic"

Format > Bullets and Numbers
In the color dropdown you will see it is set to Automatic > change to any
other color and OK
Now do it again to change back to the original and OK

Work??
