Archiving and retrieving recurring calendar events

I have been transferring data from my Outlook 98 program on my old
(Win 98SE) machine to Outlook 2002 on my new (WinXP) machine. The
method I used was to make a copy of the Outlook.pst, on my old
machine, rename it as OldOutlook.pst, and then open it as an archive
file on my new machine. I then copied data from each of the personal
folders in the OldOutlook.pst file into the personal folders of my new
machine. In some cases, I could copy whole folders at a time, but in
other cases, such as the inbox, tasks, notes, and contacts, I dragged
the individual items that were in the respective folders in the
OldOutlook.pst into the corresponding folder in the new Outlook.pst.

The most difficult one to handle was the Calendar folder, since there
was no way select all of the entries and drag them. So I archived the
entire contents of the OldOutlook.pst Calendar folder, and then
imported those contents into the Calendar folder of the new .pst.
That worked fine except for one thing. I was unable to archive the
recurring calendar items. Thus, they are not in my new .pst file.

Can anybody tell me how to move those recurring items from the old
..pst to the new one?

Use the By Category view or any other table view to select the items you want to move.

You could have saved yourself a lot of work if you'd simply copied the Outlook.pst file to the new machine and made it the default information store for Outlook on the new machine.

I had originally done what you suggested in your second paragraph --
copied the Outlook.pst file to the new machine and made it the default
information store for Outlook on the new machine. The problem was
that after I did so, when I sought to access my address book through
the "To" button of outgoing emails or via the address book icon, I
would get an error message "The address list could not be displayed.
The Contacts folder associated with this address list could not be
opened." After I pressed the OK button, the address book dialog
appeared with no entries. In the dropdown that says "Show Names from
the . . . " the word "Contacts" appeared. When I pressed the dropdown
arrow, a second "Contacts" appeared. With this selected, the email
addresses for my contacts were now displayed and I could use them.
However, every time I had to use the address book again, I had the
same experience. I was unable to remove that first "Contacts" label,
and it acted as a default. At that point, I reverted to the strategy
I described in my initial posting.

I am still unable to remove the extra "Contacts" label, but now the
first such label brings up the email addresses in my Contacts folder
and is the default label. The second "Contacts" label now brings up
an empty box so it is not doing me any harm. However, I would still
like to get rid of it if I can.

I followed the advice in the first paragraph of your message "Use the
By Category view . . . to select the items you want to move," and was
able to accomplish the movement of the recurring calendar events to my
new calendar. Thank you so much for that suggestion.

I have a related question. In my Outlook 98 setup, I had a number of
mailing distribution groups set up in my Personal Address Book. How
can I export them and import them into my Outlook 2002 program on the
new computer?

Remove the Outlook Address Book service from your mail profile (Tools>E-mail
Accounts>View or change existing directories and address books>Next. Select
the Outlook Address Book and choose Remove), stop and restart Outlook, and
add the service back in (Tools>E-mail Accounts>Add a new directory or
address book>Next>Additional Address Books>Next>Outlook Address
Book>Next>Finish).

Thanks for your reply, but I don't follow your suggestion.

When I go to "Tools>E-mail Accounts>View or change existing
directories and address books>Next," all I see listed are my three
email accounts. "Outlook Address Book" is not listed as a choice that
could be changeed, removed, or edited.

Were you referring to a different series of commands or dialog?

After I sent my latest posting on this, I was reviewing other items in
this newsgroup and came upon a thread about controlling the order in
entitled "Moving Outlook Address book to top." From Russ Valentine's
first response to it, I saw the reference to chosing Tools/Options
from the Address Book dialog. I did that and saw a dialog for
controlling the order in which address lists are accessed. Both of
the "Contacts" entries were listed there. I chose the second one and
hit the Remove button. After doing that, there was only one
"Contacts" entry listed in the field which is used to control the
order of access, but in the "Show Names from
the . . . " dropdown of the Address Book, there are still two entries,
the valid one and the one that prompts an error message.

Then you're not clicking the "View or change existing directories or address
books" radio button - the bottom one. You're leaving the second radio
button (View or change existing e-mail accounts) selected.

Were you referring to a different series of commands or dialog?

No. You have to follow the instructions correctly.
