1 EMAIL ADDRESS - SEVERAL USERS

Hi to everyone,

Although this problem doesn't necessarily relate to XP, a client does have 4
staff and 4 XP PCs. Basically, they use 1 email address and the first person
into the office in the morning logs onto a PC and views the emails. However,
some users are complaining that when they logon to their machines, numerous
of the same emails are showing in their inbox also. They use POP3 with an ISP.

I gather then, that the reason for this is that the first person who logs on
doesn't delete the emails, and thus, they come down onto the other PCs also.

Is this correct, as I would like to know what the main complications of a
situation like this are, whereby 1 email address is used among many users
logging onto different machinesto access them.

If the setting "remove e-mail from server" is not checked you will have
this issue. When the client determines how the e-mail should be handled,
make the settings accordingly.
 
so they are using outlook/outlook express??? if they are you need to check
the settings, if you look in the account settings you may find that the pc's
have been set to leave a copy of the message on the server, you need to check
all the machines otherwise when the first person downloads the messages, the
e-mails will be left on the sever and then when other people check the
e-mails those same messages will be downloaded again......pete ;-)

Many thanks for your replies again. I haven't located 'remove e-mail from
server' in either Outlook Express or Outlook when checking in the 'options'
menu.

It's not called that - it's called the opposite - KEEP a copy on the
server!

I think it's in the Advanced tab of mail account properties on both. It's
certainly not on the "Options" menu.

To store messages on an e-mail server

Storing messages on a server is useful if you need to read e-mail from
more than one computer. When you log on to your account from a different
computer, Outlook Express downloads messages according to the options
you have set. You can store messages on a POP3 server. If you have HTTP
e-mail, or IMAP e-mail, your messages are always kept on the server.

On the Tools menu, click Accounts.
Click the e-mail account, and then click Properties.
Click the Advanced tab, and then select Leave a copy of messages on server.

Yes you are correct. The first person does NOT have the setting "delete
email after downloading" set. Have them set that properly in their email
client and you are in business.
 
The main complication would be mail intented for one person being read, and
deleted by someone else. If nothing else, it's poor communication. Most
ISP's will allow multiple users, why not set up an account
([email protected], (e-mail address removed), etc) for each user?
 
You are talking about aliases for one account.
The first person to access the account will still get all of the messages.

Many thanks guys for all your advice and answers.

So basically, the best option is:-

1) to have individual email accounts for each user,
2) or simply ensure that emails are not saved on the ISP server,
3) or as a third option, always use the same PC for accessing email.

Preferably option (1) I believe.
