The address list could not be displayed ...

N

Neil

I get this error message every time I try to send a fax using the
Windows XP Fax, and want to use the address book: The address list
could not be displayed ...

I followed the instructions at:
http://support.microsoft.com/default.aspx?scid=kb;en-us;Q319901
"The address list could not be displayed" error message when you use
your Contacts to address a new message in Outlook

and somehow eventually get the address book to come up in the Fax
routine, but the next day when I go to use it, after computer has been
turned off for the night, the same error message comes up.

N

Neil

Today I tried the instructions again, and still get the error message.
Yesterday, when I got it to work, I named the folder Contacts New.

N

Neil

And now I tried it again, but at the end I named the folder Contacts
Newbie, and it comes up correctly in Fax. But, tomorrow ... ?

N

Neil

And now I tried it again in Fax (just after posting previous message),
and Contacts Newbie is there, but the nasty error message came up
again, and no contacts are there.

One of the most frequently posted problems here. You simply need to
reconfigure your Outlook Address Book so that it contains a valid reference
to your Outlook Contacts Folder. There are countless posts here to tell you
how to do so. If you want me to post it again, then provide your Outlook
version.

N

Neil

Yes, it is. Russ, you worked with me on this 2 years ago. I saved all
the messages, but whatever I try doesn't work. I appreciate your help
-- please use the exact terms for functions that appear in Outlook and
elsewhere, rather than general directions like "configure this or
that." I have Outlook 2002 and Windows XP. I find it absolutely
astonishing that Microsoft makes their software so difficult to use.
You would think a competitor would step in with better software and
decent help menus. Thanks much.

It is not unusual for the Outlook Address Book to "lose track" of the
connection to its Contacts Folder when you move or import your PST or update
your Outlook version or operating system. Use the following steps to reset
the connection. Note that in some instances you may actually have to remove
the Outlook Address Book completely from your Profile, close Outlook, and
then re-add it before you can get it to work.

Make sure the Contact folder is enabled as an email address book. Right
click the Contacts folder, choose Properties then Outlook Address Book. Is
the box to enable as email address book checked?
If this is grayed out...Go to Tools | Email Accounts, choose View or change
existing directories or address book. Is the Outlook Address Book present?
If it isn't listed, add it and close and restart Outlook. If it is listed,
then remove it and close then restart Outlook and repeat these steps to add
it.

Russ, I still get the error message, no matter what directions I
follow. Please read my comments between parts of your message.

your Outlook version or operating system. Use the following steps to reset
the connection. Note that in some instances you may actually have to remove

Russ, with all due respect, the above is the kind of general
instruction that we cannot follow. Please give exact instructions,
using the terms for functions in Outlook. I think, though, from the
Microsoft website, I have followed the instructions for deleting and
readding the Address Book, and I still get the error in Fax. It may
work once, but then the error message comes up the next time I try to
use it. I also have set Internet Properties/Programs/Contact List to
Address Book, as you advised in our 2004 go around on this.

I did find this entry in a search for Profile in Outlook Help. These
are the same instructions I believe I followed on the Microsoft
website:

Add or remove an address book
Do one of the following:

Add an address book

On the Tools menu, click E-mail Accounts.
Under Directory, click Add a new directory or address book, and then
click Next.
Add an additioinal address book

Click Additional address books.
Click the address book you want to add, and then click Finish.

SHOULD I CLICK OUTLOOK ADDRESS BOOK OR PERSONAL ADDRESS BOOK?

Remove an address book

On the Tools menu, click E-mail Accounts.
Under Directory, select View or change existing directories or address
books, and then click Next.
Click the address book you want to delete.
Click Remove.
Click Finish.

Make sure the Contact folder is enabled as an email address book. Right
click the Contacts folder, choose Properties then Outlook Address Book. Is
the box to enable as email address book checked?

Yes, and I still get the error message in Fax.
If this is grayed out...Go to Tools | Email Accounts, choose View or change
existing directories or address book. Is the Outlook Address Book present?
If it isn't listed, add it and close and restart Outlook. If it is listed,
then remove it and close then restart Outlook and repeat these steps to add
it.

The above paragraph is not applicable because the message was not
grayed out.

I've done this several times, but I still get the error message in Fax.
What do you want me to try next? Thanks.

Russ, this is a second reply to your post --

I followed all instructions, but selected Personal Address Book when I
added an address book after deleting the address book. Fax worked --
Personal Address Book was there with the entries. Yes, it worked --
ONCE. Second time -- error message. I went back to Outlook, deleted
Personal Address Book, added Outlook Address Book, and now Fax gives me
the error message every time.

Actually, I've posted these instructions at least hindered times, and they
have worked for everyone else. Go back over them. Do them correctly. If you
need to re-add the address book service, use the Outlook Address Book, just
as the instructions say. Never use the Personal Address Book.
It is not necessary for the Outlook to be open for the Fax Service to use
your Contacts. It may now be necessary for you to create a new Outlook
profile. You've probably corrupted your current one.

Russ, I aplogize for the all-caps in my third message last night. My
anger is at Microsoft, not you. Their application designs have too many
flaws and their help menus are hopelessly deficient. Without
newsgroups, I'd be lost. Anyway, I was only listing my messages by
number so the order wouldn't be confused, not because I thought you
should be answering right away. We're very lucky there are people like
you out there who answer our questions.

I tried every instruction over and over again and still got the error
message in Fax. I do recall, as you suggest, that in the past I
accessed my address book through Fax without Outlook being open. But, I
am at a loss as to what I could be doing wrong to cause that error
message to keep coming up. If you want to take this one step at a time
with me, I'll be happy to try. Tell me what to do first. Thanks.

Let's start at the beginning. Do you have more than one Outlook profile?
When you just open Outlook (leave out fax for now), do you have more than
one Contacts Folder? Do all of your Outlook Contacts appear in the Outlook
Address Book as they should? Is Outlook set as the default Contact manager
for your operating system?

ANYONE EVER ANSWERED IN THIS FORUM TO ALL THESE FRUSTRATED PEOPLE
LIKE
ME THAT OUTLOOK HAS TO BE OPEN IN ORDER TO SEND A FAX USING THE
ADDRESS
BOOK? THE ADDRESS BOOK ALWAYS APPEARS IF OUTLOOK IS OPEN. WILL
NOT
APPEAR IF THE APPLICATION IS CLOSED. NEVER ASSUME ANYTHING!! WHAT
A
WASTE OF TIME THIS HAS BEEN FOR ME AND ESPECIALLY FOR YOU WITH
ALL
THE
REPLIES YOU'VE MADE TO PEOPLE. NOWHERE ON MICROSOFT'S ANSWER
WEBPAGES
DOES IT SAY THAT OUTLOOK HAS TO BE OPEN FOR THE ADDRESS BOOK TO
APPEAR
IN THE FAX APPLICATION. I HOPE THIS FINALLY ENDS THIS IDIOCY OF
SO
MANY
PEOPLE POSTING THIS SAME PROBLEM.

Make sure the Contact folder is enabled as an email address

Is
the box to enable as email address book checked?
If this is grayed out...Go to Tools | Email Accounts, choose

If it isn't listed, add it and close and restart Outlook. If it

Yes, it is. Russ, you worked with me on this 2 years ago. I
saved
all
the messages, but whatever I try doesn't work. I appreciate
your
help
-- please use the exact terms for functions that appear in
Outlook
and
elsewhere, rather than general directions like "configure this
or
that." I have Outlook 2002 and Windows XP. I find it
absolutely
astonishing that Microsoft makes their software so difficult
to
use.
You would think a competitor would step in with better
software
and
decent help menus. Thanks much.

I went through all instructions (for the 100th time) and still get the
error message in Fax. Why would Fax show the address book entries when
Outlook is open, and give the error message when Outlook is closed?
Nothing else. This works for everyone else. You're the only one with this
problem. I can't reproduce it. I'd just retrace all the instructions I've
posted to make sure you've done them all correctly.

I never gave you those instructions. If your use Outlook Contacts to
store
your data, then Outlook should be your Contact List manager, not the
Windows
Address Book.

I changed Progams / Contact list back to Microsoft Outlook last night,
turned computer off, then back on this morning, and I still get the
error message in Fax. When I started this thread it was set to
Microsoft Outlook. Next thing to check? Thanks.

Let's start at the beginning. Do you have more than one Outlook
profile?

Where do I look for this? Dropdown menu and item please.

When you just open Outlook (leave out fax for now), do you have more
than
one Contacts Folder?

View/Folder List shows Contacts -- nothing else there with the word
Contacts

Do all of your Outlook Contacts appear in the Outlook
Address Book as they should?

Tools/Address Book -- yes they are all there.

Is Outlook set as the default Contact manager
for your operating system?

Do you mean this? --
Control Panel/Network and Internet Options/Internet Options/Internet
Properties/Programs/Contact List
says Address Book. I had it as Microsoft Outlook, but changed it to
Address Book per your instructions in our last go around (in 2004).

I await your next instructions. Thanks.

It may now be necessary for you to create a new Outlook
profile.

I'm pretty sure I've done that, but give me the instructions again.
Thanks.

If you want real time support, call Microsoft. I sleep at night.
Actually, I've posted these instructions at least hindered times,
and
they
have worked for everyone else. Go back over them. Do them
correctly.
If
you
need to re-add the address book service, use the Outlook Address
Book,
just
as the instructions say. Never use the Personal Address Book.
It is not necessary for the Outlook to be open for the Fax Service
to
use
your Contacts. It may now be necessary for you to create a new
Outlook
profile. You've probably corrupted your current one.
