How do I set up a text insert?

Hi
We are fairly new outlook users running acting agency. We want to know how
you set something up so that when emailing appointments to people we can just
insert the following text

TIME:
PLACE:
DATE:
Good luck!

I was shown how to do this but have since forgotton.
Can anyone help??
