Workgroups Question

I have only one on which database I want user-level
security. May I set the workgroup file for this database
only? At present it appears that when I set the workgroup
for a database, the same workgroup is set for all
databases. How may I set it individually? Thanks for the
help.

The workgroup isn't tied to the database (many databases can use one or more
workgroup(s)). The workgroup used is tied to the Access session currently
in use.

Access always uses some workgroup file. Out of the box, it uses a workgroup
named system.mdw, and silently logs you in as a user named 'Admin'.

You always have some workgroup file set as the default - usually you would
keep system.mdw set as your default.

You need to create a desktop shortcut for your secure database that
specifies the workgroup file to use for that session.

The target looks like:
"path to msaccess.exe" "path to secure mdb" /wrkgrp "path to secure mdw"

Use the shortcut to launch your secure database; all other sessions of
Access will use the standard system.mdw.

Hi Doug,

The following should help explain quickly how the WorkGroup Information
File works:

- Say you created the WorkGroup Information Files
+ MyDefault.MDW
+ MySpecific.MDW

- If you are using Microsoft Access 2002 or 2003
+ within Access click the menu option Tools > Security > WorkGroup
Administrator
+ you will see what *.MDW Microsoft Access defaults to

- If you have Microsoft Access 2000 or 97 you will have to locate the file
"wrkgadm.exe" and double click it. It will show you the same information
as you would see with Access 2002 & 2003 (i.e., what's the default *.MDW
file)

- Now let's say that the default is "MySpecific.MDW". You go ahead and
create User Level Security, take away permissions for the Admin account,
etc... on your database

- A month later you change the default (you can do this in the WorkGroup
Administrator by clicking the Join button) to "MyDefault.MDW"

- You open your secured database and Access sees that you are NOT using the
WorkGroup File "MySpecific.mdw" that you used to secure the database,
thereby it brings you into the database as a guest which uses the "Admin"
account. But remember you removed permissions from the Admin account.

- You go back through the steps of launching the WorkGroup Administrator to
re-join the workgroup file "MySpecific.mdw" and now you can open your
database with the correct User account and password

DILENMA: How can you avoid from joining, rejoining, and joining back and
forth to the different workgroup files (*.mdw)?

SOLUTION: Using the WorkGroup Administrator make sure Microsoft Access is
defaulting to the workgroup file "MyDefault.MDW". Then create a shortcut
on your desktop that has the following path

"C:\<full path to MsAccess.exe>" "<full path to your MDB file>" /wrkgrp
"<full path to MySpecific.mdw"

So now when you launch Microsoft Access via the Start menu you are
defaulting to "MyDefault.mdw". And when you launch the shortcut on your
desktop your are defaulting to "MySpecific.mdw"
