TOC Not Formatting Correctly

S

Sandra

My TOC looks like it is set up with the proper styles (TOC1, TOC2, TOC3), but
when I press F9 to generate it, it brings in my whole document text - not
just the headings and page numbers. What could be the problem?

I have not been able to find any problems with the set up.

Thank you.

Are heading styles applied to your entire document? If not, perhaps you have
been using Document Map and it has assigned outline levels to what should be
Body Text.

Suzanne,

Yes, I set up a template and created heading styles (w/ levels 1-5)
throughout the document. I just looked at the text and it is assigned
"Normal" as the body text. Word certainly is assigning outline or heading
levels to what should be body text.

Other documents that I created with this template have TOCs that look great...

I am not at all familar with Document Map. Are there perhaps some automated
settings that I can switch off in order to correct this?

Hi Suzanne,

I am pleased to let you know that I fixed the TOC problem!

I looked closely at the heading levels that were checked for TOC generation
and for some reason, a "Title" style got picked up. When I removed it and
regenerated the TOC, it worked great.

Thanks for your help. Reading your response helped me think this through
and try this approach.

I'm glad I was (indirectly) helpful. Outline levels get assigned to various
styles in mysterious ways, but the built-in Title and Subtitle styles are
assigned outline levels 1 and 2 by default--a good thing to be aware of if
you're using these styles for something other than headings you want in the
TOC (which is usually the case--don't know what the designers were thinking
here).

FWIW, the Document Map does have a nasty habit of creating heading levels if
it can find any; it's less likely to do this (a) in more recent versions
and/or (b) if you have defined and/or used heading styles with outline
levels defined and/or (c) if you have disabled "Define styles based on your
formatting" in Tools | AutoCorrect Options | AutoFormat As You Type. For
