Table of Contents and sending a document

When I send a document with a table of contents to someone, the page numbers
are deleted when they open it up in print view. Then they have to regenerate
the table of contents by clicking PF9 and updating it again. Is there any way
to prevent this from happening?

F9 does not "regenerate" the TOC; it just updates it. If the recipient has
first opened the document in Reading Layout view (Full Screen Reading view
in Word 2007), then this is a known issue. There is nothing you can do on
your end except make suggestions.

1. You can suggest that the recipient not open the document directly from
the attachment but instead save it to the HD first since this view is used
only when a document is opened directly from an attachment.

2. If the recipient is not willing to go to that extra effort, you can
suggest that the recipient disable that view (Tools | Options | General in
Word 2003, Office Button | Word Options | Popular in Word 2007). This will
permit opening attachments directly.

3. If the recipient is not willing to either disable that view or save
attachments to the HD before opening, you will have to suggest that the
recipient update the TOC after switching to Print Layout view.
