show actual email addressz not display name

In the "Sent Items" folder, the "To" fields uses the Display Name, not the
actual email address. Is there a way to show a field that displays the
actual email address? Can one sort the emails by the email address they
were sent to, not the Display Name?

Current versions of Outlook do not use the Display Name because the Display
Name contains both the Full Name and the email address. We have no idea what
version you are using, but you can customize your view to add the email
address field.

I am using Outlook 2002. How can I customize the view to add the email
address field? In the sent folder I need the email address the message is
sent TO. In the inbox I need the email address the message is FROM.

I tried to add these fields in the past but failed. I went to the "Field
Chooser" but could not find fields that represent the TO and FROM email
addresses.

You can add the To: field to any list view of the folder using Field
Chooser.

Never mind. That shows Familiar Name only, not the Display As... field. And
the EMail Display As... field for a message is blank. It is only populated
for a Contact. I can't find a way to do what you want. I'll look at it again
if I ever get the time.

Not sure why, but no one else has requested this to my knowledge, nor do I
understand why you would need that view for the Sent Items Folder. It's not
a folder in which one needs to see the actual email address, so I suspect
that's why it was designed the way it was.

I don't know about other people but I have found this design extremely
inconvenient. The same email address may be listed under several DIFFERENT
display names. Therefore they are not all in the same place. Keeping track
of the different display names can also be very awkward as there is no
simple way to know what display names have been used (they are NOT the
display names in the address book, though some may be). The only way (it
seems) to find all the emails to or from a specific address is to do an
advanced search which is very slow and also takes time to set up.

This problem is relevant to both the Sent Items Folder and the Inbox.
Again, I don't know about other people, but I frequently want to look at all
the emails to or from a particular person. It's very hard to do with
Outlook as it is apparently designed.

I will try to explain why it is needed. I don't know about other people, but
I frequently want to review all email messages TO or FROM a particular
person. With Outlook as it normally functions that is quite difficult. Why?
Because messages to or from a given email address may be listed under more
than one alias (and more than 2 also). I have frequently thought I found all
messages to or from a particular email address, only to find that I missed
one that filed under some other alias. If it were possible to somehow update
the messages so that all messages to or from a given email address had the
same alias, that would solve the problem. It might even have advantages
because it would them be possible to assign 2 different email addresses the
same alias, if for example the person you are interested in has 2 email
addresses.

As the system functions now, it is very difficult and time consuming to find
all messages to or from a particular email address. It can be done with a
custom search but the search is slow and setting it up is cumbersome.

I had hoped someone would know how to solve this. Your earlier suggestion,
of adding the field with the email address, would have solved it, but
unfortunately, as you noted, it apparently cant be done.

Most of us just use the Activities Tab on the Contact Record for that. Works
fine.

The recipient fields of messages you compose will always show whatever you
have for the "Display as" field. That's the whole point of that field.
You're using it to tell Outlook what to display when you include that
contact as a recipient. It you don't like the value that displays, change
the "Display as" field for that contact.

The sender field of messages you compose will always show the value chosen
by the Exchange admins for Exchange accounts and the "Your Name" field for
other accounts. If you don't like it, change it (although you'll have to
get admin help for Exchange accounts).

The sender and recipient fields in messages you receive will show what the
sender wanted in those fields. You can't change that.

The recipient fields of messages you compose will always show whatever you
have for the "Display as" field. That's the whole point of that field.
You're using it to tell Outlook what to display when you include that
contact as a recipient. It you don't like the value that displays, change
the "Display as" field for that contact.

To do this you can use the tool "ChangeNames"

Thanks for your answer Brian.
I agree with you but it's just ennoying to can't choose with a simple
"General Option View".
Maybe in a later version, who knows...

It seemes to me that the benefits of an email address column that
contains the domain of the sender were so compelling that Microsoft
would certainly have included it in Outlook 2007. So far, I cannot
find it there.

For the Outlook MVP's who don't understand why this is important,
let's review why displaying the address field column in form
"(e-mail address removed)" would be a good thing.

The display addresses alone are inconsistant and several different
versions may apply to the same email address, frustrating attempts to
logically sort or group them.

When reviewing the contents of the junk mail folder before deleting,
the display addresses are pretty useless. This tedious process would
be a little easier if we could see the domain part of the email
address. It wouldn't be perfect, but it would be one way to assist
users in the difficult task of managing junk mail. You would
certainly be more likely to spot email you really wanted. Here is an
example of a few names that appeared in my junk folder:

Jacob Davis
Jeffry Kane
Jenelle Thao
Jerry Kendall
Joa Kell
Joanna Belanger
Kara Tackett

This is what I SHOULD be able to see:

Jacob Davis (e-mail address removed)
Jeffry Kane (e-mail address removed)
Jenelle Thao (e-mail address removed)
Jerry Kendall (e-mail address removed)
Joa Kell (e-mail address removed)
Joanna Belanger (e-mail address removed)
Kara Tackett (e-mail address removed)

Why is this better? Well, for one, I can see that some of them are
from overseas and probably junk. Others have display names that
clearly do not match their email address and are probably bogus. None
of the domains belong to my friends, family, or business associates.

Outlook has a junk mail feature available when you right click a
message in a folder: "Add Sender's Domain (@example.com) to Safe
Senders List". Trouble is, you CAN'T SEE THE DOMAIN so you wouldn't
know what you were doing!

If anyone knows how to add a column to the Outlook 2007 folders that
shows the email address (with domain), please respond. Thanks!
