Sharing non-Default Contact Folders

Hi,

I'm using Outlook 2003 and Exchange.

I have the default Contacts folder which I use for my own contacts and
do not want to share. I have set up several other Contacts folders. I
want to share one of my additional folders with one list of people and
another with another group.

I have added valid names to each folder's Permissions and picked which
level of permission I am granting for each user for each folder.

When the nominated users tries to see the folder they select my name
using the appropriate dialog, they can't 'see' any of my additional
folders - they can see my main (default) Contacts folder if I give them
that permission (which I don't want to do but did for one user as a
test).

Does Outlook allow the sharing of non-default Contact folders? Or am I
doing something wrong?!

That should work .. although I have seen occasions where the user needed to
have permission for your mailbox and the specific folder you want them to
be able to see. Its not really like sharing a drive on a network, its more
hierarchical. Try sharing the 'Mailbox - Username' with very basic rights
such as reviewer and the folder with your contacts. This usually works for
me.

To access a shared folder that isn't one of the folders listed on the File | Open | Other User's Folder dialog, the mailbox owner needs to grant "folder visible" permission to the root of the mailbox and any other parent folders of the shared folder, as well as appropriate permission -- at least Reviewer -- on the shared folder itself.

The user who needs access then goes into Tools | E-mail Accounts or Tools | Services (depending on the Outlook version), brings up the properties for the Exchange Server service, and on the Advanced tab, adds the mailbox.

Hummm.... I tried this today. I couldn't make it work. When I gave
permissions I gave view folder permission to the main Contacts folder -
on the assumption it's the parent of other Contacts folders. Still
couldn't see the sub-contact folders but could see the main contacts
folder. I do not want my Inbox to be shared/visible.

Can you give me some more pointers please.

Don't assume -- look in the folder list. There is no reason to assume that secondary contacts folders are sub-folders of the main Contacts folder.

Hummm.... I tried this today. I couldn't make it work. When I gave
permissions I gave view folder permission to the main Contacts folder -
on the assumption it's the parent of other Contacts folders. Still
couldn't see the sub-contact folders but could see the main contacts
folder. I do not want my Inbox to be shared/visible.

Can you give me some more pointers please.

I did not give any permissions to my mail folders.

After reading the http://www.howto-outlook.com/howto/permissions.htm
article (which was written for sharing mail folders not Contact
folders) I made the assumption that when it mentoned mail I should read
Contact ... so I gave view folder permissions to the mail Contact
folder (assuming it was the Parent of all other contact folders). The
article and CW's reply gives the impression you must make the 'parent'
folder viewable even if you won't want to share that.

Then I gave permissions to my newly created contact folder (that I want
to share) by adding the permissions after right clicking the folder and
clicking Sharing...

When one of my selected user went to add my folder to his list, he got
my main contact list but couldn't see or view or select my other
contact folder.

Assuming it is definitely possible to share other contact folders, then
I'm obviously doing something wrong!

Any ideas?

It's not that you're doing anything wrong. It sounds like you're just not doing enough: You must grant "folder visible" permission to every folder that is above the folder that you want to share, including the root folder of your mailbox. In order to know which folders those are, you must display the Folder List navigation pane.

Granting "folder visible" permission makes the folder itself visible, not the items it contains. Try it!
